Candidate Notifications

Enhancement

Text notifications and renamed labels in Candidate Notifications

Send text notifications to candidates for important application updates. Text notifications are off by default. Contact PowerSchool Support or your account representative to turn on text message notifications, then set theText Message Notifications for Candidates.

We renamed and rearranged labels for notifications in ATS Admin to make them clearer and more consistent.

  • Navigation menu:

    • Candidate Email Notices is now Candidate Email/Text and is at the top of the submenu.

    • Staff Email Notices is now Staff Email.

    • System Email Notices is now System Email.

  • Candidate Notifications page: The page title Candidate Email Notifications is now Candidate Notifications. The table columns are now Event, Application status, Email status, and Email subject. Email status now shows Enabled or Disabled.

  • Editing a candidate notification: System event and Application status now appear below the page header, and Email has its own section. The Enable this action setting is now called Status, with the options Enable and Disable.

Where it appears: ATS Admin, Communication Tools, Candidate Email/Text, on both the notification list and the Edit page.

Contact Tab

Enhancement

View contact log in the Contact tab

Text messages triggered for candidates now appear in the Contact tab of the applicant folder in Application Manager, alongside email entries. Each entry shows when the message was triggered, who triggered it, the message content, and its delivery status.

Each text message entry records:

  • Date and time the message was triggered

  • Contacted By: the admin who triggered the message, or SYSTEM for automated notifications

  • Method: Text message

  • Message content: Click View to view the message sent

  • Delivery status: In the Comments column, with a specific, readable reason when a text is not delivered

Application Manager

Enhancement

Collect and review more applicant documents - up to 18 attachment slots per application

District admins can now set up and review up to 18 attachment slots per application, up from 6. Twelve new slots, Custom 4 through Custom 15, join Resume, Cover Letter, Transcript, and Custom 1 through Custom 3. Districts can now request more supporting documents, such as certifications, letters of recommendation, or portfolios, within a single application.

What’s new

  • Set up new slots: In the application field configuration screen, open an application type’s Attachments section. You can rename, require, enable, and reorder Custom 4 through Custom 15 in the same way you manage the existing custom slots.

  • Review uploaded documents: The Docs page in Application Manager lists files uploaded to the new slots, with upload dates, alongside existing attachments.

  • Print with all attachments: Print Hire Application, Print Application Packet with Attachments, and bulk print include files from Custom 4 through Custom 15.

Good to know

  • The new slots appear only for SchoolSpring District Job Board (ECP) districts. Other districts will not see them in field configuration, on the Docs page, or in printed output.

  • The new slots stay hidden from applicants until you enable them.

  • Applicants use the same file size and format limits for the new slots as for the existing ones.

  • Existing attachments work as before for all districts. Resume, Cover Letter, Transcript, and Custom 1 through Custom 3 are unchanged.

Application Type

Resolution

Candidates can now apply to jobs when the Personal Information section is empty

We fixed an issue that stopped candidates from finishing a job application. This happened when the job's Application Type had the Personal Information section turned on but had no fields in it. Clicking Save and Continue on that step did nothing, so candidates could not submit their application.

This release makes two changes:

  • SchoolSpring Job Board: If the Personal Information step has no fields to fill in, candidates can now move past it and keep going with their application.

  • Applicant Tracking (Hire): Admins cannot publish an Application Type that has no pages turned on. This keeps jobs from being posted with an application candidates cannot finish.

Where it appears:

  • The Personal Information step of the apply flow on the SchoolSpring Job Board

  • Application Type setup in Applicant Tracking, for new and existing Application Types

Impact on existing users: None. You do not need to set anything up.

Job Templates, Applicant Folder, Contact Log

Resolution

Hover previews for job descriptions, template titles, and contact comments now display correctly

We fixed a problem in Applicant Tracking where hovering over some text to preview it showed a distorted pop-up. Parts of the preview could overlap, repeat, or display in bold, and sometimes the pop-up appeared behind other items on the page. This made it hard to read a job description before choosing a template.

Hover previews now display as one clean box with normal text, above the rest of the page. The fix works in both the enhanced interface and the classic interface.

Where it appears:

  • Search Job Templates: Hovering over a template's description.

  • Manage Job Templates: Hovering over a template's title.

  • Applicant Folder, Contact Log: Hovering over a comment.

Impact on existing users: None. This only changes how the previews look. Your data and settings stay the same, and you need not set anything up.

Internal Jobs

Resolution

Internal job postings now stay open until the internal close date

We fixed a problem with jobs posted from Applicant Tracking to SchoolSpring that have both an external and an internal close date. When the external close date passed, the job moved from Posted to Review, even if the internal close date had not passed. The job then disappeared from the Internal Jobs tab, so internal applicants couldn't find it or apply. Setting the job back to Posted only worked until the next day, when it was switched back to Review again.

Now these jobs remain Posted and show on the Internal Jobs tab until the internal close date. External applicants still can't see the job after the external close date.

Who is affected:
Districts that post jobs from Applicant Tracking to SchoolSpring with an internal close date that's later than the external close date.

Impact on existing users:

  • You no longer need to re-save postings every day to keep them visible to internal applicants.

  • Jobs without an internal close date close the same way they did before.

  • You don't need to set anything up.

Link Account/account creation

Resolution

Missing phone number now highlighted during account setup

We fixed an issue on the SchoolSpring Job Board where candidates could leave the required Phone Number field blank when creating or linking an account. When they clicked Save and Continue, the form didn't move forward, and nothing on the screen told them why.

Now, if a candidate leaves Phone Number blank and clicks Save and Continue, the required label next to the phone country selector turns red. This shows them what's missing. The red highlight goes away on its own once they enter a phone number.

Where it appears: The Personal Information step on the Job Board's Link Account/account creation page.

Impact on existing users: None. No setup is needed.

Applicant Tracking

Resolution

Print links in Applicant Tracking now open the PDF reliably

We fixed a problem in Applicant Tracking where some print links failed with an error and did not open the PDF. This happened when the PDF's download link was very long.

Print links now open the PDF as expected, regardless of link length.

Where it appears: Applicant Tracking, wherever a print link opens a generated PDF.

Impact on existing users: None. Printing works the same way as before, and you don't need to set anything up.

Custom Forms

Resolution

Required questions on reference forms are now enforced after Date fields

We fixed a problem with custom forms that are filled out in Applicant Tracking, not on the Job Board. On reference forms, if a required question came after a Date question, the form could be submitted with that required question left blank. Required questions that came before the Date question worked correctly.

Now every required question on the form is checked wherever it appears on the form. If any required question is left blank, the form cannot be submitted.

Where it appears: Reference forms and employment verification forms built under Custom Forms and filled out in Applicant Tracking.

Navigation: ATS Admin, Configure, then Custom Forms

Impact on existing users: None. Your existing custom forms remain the same and do not need any setup. Application forms on SchoolSpring.com are not affected by this change.
