Manage Section Rosters

Get Started

  1. Choose Professional Learning from the main menu.

  2. Choose Instruct.

  3. Click the title of the applicable section.

Add Participants

Search for Learners

  1. Click Add/Remove Participant(s).

  2. Choose Search for Learners.

  3. Find and select the applicable users.

  4. If necessary, click Add Users and Search Again.

  5. When finished, click Add Users.

Add Using Advanced Method

  1. Click Add/Remove Participant(s).

  2. Choose Add Using Advanced Method.

  3. Select the type of identifier and the type of separator you will use.

  4. Input the specific identifiers. You can copy and paste the identifiers into the field provided.

  5. Click Preview.

  6. From the list of users associated with the identifiers provided, select the applicable users.

  7. When finished, click Add Users.

Remove Participants

For a single participant, click the ellipsis, then Remove From Roster.

To remove multiple participants at once:

  1. Click Add/Remove Participant(s).

  2. Choose Remove Multiple Participants.

  3. Find and select the applicable users.

  4. Click Remove.

  5. Click Confirm.

Email All Participants

  1. Click Messages and Email, then choose Email All.

  2. Enter the Subject and Message.

  3. Optionally, deselect participants from receiving the message.

  4. Click Send.

Update Registration Status for Participants

For a single participant, click their Registration Status menu (down arrow), then choose the appropriate status.

To update all participants:

  1. Click Edit All in the Registration Status column header.

  2. Click Update all manually.

  3. Choose the appropriate status

  4. Click Update All.

Changes save automatically.

Update Credits for Participants

For a single participant, click their Credits menu (down arrow), then choose the appropriate credit.

To update all participants:

  1. Click Edit All in the Credits column header.

  2. Choose an update option.

  3. Complete the fields applicable to the option you chose.

  4. Click Update.

Add Notes on a Participant

  1. Click expand for the desired participant.

  2. Enter comments.

  3. Click Add Notes.

  4. Click collapse.

Move a Participant to the Waitlist

If a waitlist is available for the section, click the ellipsis for the applicable participant, then click Move to Waitlist.

Lock Participants

For a single participant, click their Locked/Unlocked icon.

To lock all participants, click Lock All and Close Section.

Once a participant is locked, no other user can:

  • update their registration status.

  • update their credits.

  • update their attendance.

  • remove them from the roster.

Once a section is closed, no one can:

  • make edits to the section details, instructors, class times, roster, waitlist, or attendance.

  • see the section in the course catalog.

  • register for the section, even if they have the registration link.

  • withdraw from the section.

Only system administrators with permissions can reopen a section that has been closed.

Tasks

Access the Roster

Be sure to impersonate Test Instructor1  

  1. Assume the identity of Test Instructor1 (refer to directions in G-1, if needed).  

  2. Select Professional Learning.  

  3. Select Instruct.  

  4. Click on the Section title. Check the Future tab if needed.  

  5. Click Roster

This will only work if you have enabled this function in Roles & Permissions.  

  1. Click Roster.  

  2. Click the three-dot icon next to the "i" at the top edge of the section screen.

  3. Select Copy Registration Link.  

  4. Paste it into an email if required. 

Add users to the Roster (Individually) 

  1. Click Roster

  2. Click Bulk Actions.  

  3. Select Search for Learners.  

  4. Search for Test Teacher 2, select the checkbox next to their name, and click Add User

Remove Users from a Roster (Manually) 

  1. From the Roster tab, click Bulk Actions.  

  2. Select Remove Multiple Participants.  

  3. Select Test Teacher 2 and click Remove

Mark Completions

You must mark your test teacher as completed for the course credit to show on the transcript. 

  1. Click Roster.  

  2. Click the Registration Status drop-down next to Test Teacher 1. Change from Registered to Completed.  

  3. Click Edit All, and then click Update all Manually to adjust the Registration Status for all users. 

Lock and Close Section 

  1. Click Roster.  

  2. Click Lock All & Close section.  

  3. Click Yes to confirm. 

You are now ready to Manage Section Waitlist.
