MAC-972 |
Restricted check-in creation to the current active school year. |
Enforced school-year temporal boundaries on check-in logging in Coaching and Mentoring to prevent check-in records from being created against past or future school years. When navigating to previous or future school years, manual check-in time logging and AI recording buttons are now hidden across all user roles (mentor, mentee, and administrator). Users retain read-only access to view historical check-in records and past mentee lists for prior school years, preserving reporting visibility while safeguarding active-year data integrity. |

Bulk upload now supports content areas and mentee types |
Administrators can now assign content areas and mentee types to mentees during bulk upload. You no longer need to edit each mentee after the import. The bulk upload template now has columns for Content Area and Mentee Type. Download the new template before you upload. Before you upload: set up your content areas and mentee types in Admin Configuration. The upload only accepts values that are active there. How unrecognized values are handled:
Existing files still work: files without the new columns upload the same way they did before. |

MAC-1589 |
Resolved time display inconsistencies between check-in logs and check-in details. |
Fixed a time calculation mismatch in Coaching and Mentoring where the total duration shown at the top of the check-in details screen differed from the "Hours Coached" value displayed in check-in log grids due to separate rounding calculations. With this fix, duration calculations have been unified across the platform. Check-in log entries and check-in detail headers now consistently reflect the same rounded total coaching time, ensuring accurate and synchronized time tracking across all views. |

MAC-1595 |
Clearer Time Tracking for Off-Topic Conversation in AI Check-Ins |
AI check-ins now handle conversation that doesn't match any of your district's support areas more accurately. Until now, that time was split across all of your support areas, which could make the time spent on each area look higher than it really was. Now, any conversation that doesn't fit a support area goes into a new category called Non-Support Area Dialogues. This category has its own summary and time estimate, and it always appears at the bottom of the list, after your support areas. Examples include benefits questions or general tools for communicating with parents. The check-in's total duration and the Hours Coached column in the check-in logs are calculated the same way as before. |
|
MAC-1698 |
Enhanced manual check-in logging with summary field and automated time calculation |
Added an overall Summary field and read-only total duration calculation to manual check-in logging in Coaching and Mentoring, aligning manual check-in layout and capabilities with AI-generated check-ins. When logging a check-in manually, mentors and mentees can now record a high-level summary (up to 1,000 characters) once at least one support area is selected. The total time spent is automatically calculated from the time entered across each selected support area, giving administrators a clear overview while eliminating manual calculation errors. |
|
MAC-1699 |
Action Items are now available for manual check-in logging. |
Added an Action Items section to manual check-in logging in Coaching and Mentoring, aligning its layout and functionality with AI-generated check-ins. When logging a check-in manually, mentors and mentees can now record post-check-in next steps once at least one support area is selected. Action items display user initials to identify who logged each entry, with input capped at 100 characters per item to ensure concise, actionable follow-ups. |
|
MAC-1700 |
New Non-Support Areas Category for Manual Check-Ins |
Mentors can now log coaching time that doesn't fit any of your district's support areas. Until now, manual check-ins only offered your predefined support areas. That meant a conversation outside those areas had to go under a category that didn't fit, or it went unlogged. When you record a check-in manually, you can now pick Non-Support Areas from the category dropdown, just like any other support area. Check-ins logged under Non-Support Areas are saved and appear in the check-in history like any other check-in. They're also included in reporting and data exports. This matches how AI check-ins already handle off-topic conversation, so manual and AI check-ins now use the same category. |

MAC-2057 |
Location data sync for Coaching & Mentoring users |
We've improved the accuracy of location data in Coaching & Mentoring. Mentor and mentee primary location values are now synced from their PowerSchool Learning accounts, ensuring that location-based reporting on the dashboard reflects up-to-date information. Districts actively using Coaching & Mentoring for the current school year will now see accurate location data without needing to wait for a future release. |

MAC-2340 |
Upgraded the underlying AI model in Coaching and Mentoring to GPT-5.4. |
Upgraded the AI model powering Coaching and Mentoring AI capabilities from legacy GPT-4o to GPT-5.4. This proactive upgrade ensures zero service disruption ahead of the scheduled deprecation of GPT-4o models while delivering improved performance, responsiveness, and accuracy across AI-assisted coaching workflows. |
|
MAC-2464 |
Add files to manual check-ins after you save them |
When you record time manually, the Files section now shows up only after you save the check-in. To add files, save the check-in first, then open it from the check-in log and use Add files. This makes sure files always stay with the right check-in, and nothing is left behind if you cancel or leave the page without saving. |

MAC-1223 |
Refined AI analysis system prompt to enforce constructive, professional language in meeting summaries. |
Refined the system prompt governing AI-generated meeting summaries in Coaching and Mentoring to ensure insights and summaries are consistently communicated using neutral, professional, and constructive language. Previously, AI analysis could occasionally generate blunt or overly critical phrasing when summarizing check-in discussions. With this update, prompt guidelines instruct the AI to focus on constructive growth framing (e.g., framing issues as "challenges identified" or "shared frustration" rather than judgmental statements), delivering supportive and actionable insights for mentors and mentees. |
|
MAC-1707 |
Fixed an issue where Edit and Delete icons were cut off for long Support Area names. |
Fixed a UI layout issue in Coaching and Mentoring Admin Configuration where entering lengthy names for Support Areas, Mentee Types, or Content Areas caused text overflow that cut off adjacent Edit and Delete action icons. This fix applies text wrapping and layout container adjustments across Admin Configuration screens. Lengthier attribute names now wrap cleanly, ensuring Edit and Delete controls remain fully visible and accessible regardless of label length. |
|
MAC-1708 |
Fixed character limit enforcement for Mentee Attribute labels. |
Fixed an issue in Coaching and Mentoring where saving Mentee Attributes (Mentee Types or Content Areas) permitted labels to exceed the maximum 100-character limit without triggering a hard blocking error. With this fix, the system strictly enforces 100-character input validation when creating or editing Mentee Attributes. Any attempt to save a label exceeding 100 characters will properly block form submission and display the validation error: "The text must have 100 or fewer characters." |
|
MAC-2376 |
Fixed an issue preventing users from editing attributes for deactivated mentees. |
Fixed a regression in Coaching and Mentoring where mentors were unable to save content area and mentee type attributes for deactivated mentees. When attempting to edit attributes via the "View deactivated mentees" toggle and selecting Edit Attributes, clicking Save returned an error and no changes were applied. With this fix, mentors can successfully update content areas and mentee types for deactivated mentees without encountering an error. |
|
MAC-2385 |
Role-based users can now set content areas and mentee types |
Before, some users with role-based access got an error when they tried to set a mentee's content area or mentee type using Edit Attributes in the participant list. This has been fixed. Role-based users with the right permissions can now save these changes to mentee attributes. |
|
MAC-2392 |
User list upload processing |
User list uploads containing only mentee or mentor records are now resolved. |
|
MAC-2438 |
Resolved Mentor and Mentee CSV Upload Errors in Coaching & Mentoring |
Fixed an issue where admins encountered error messages when attempting to upload mentor and mentee CSV files for existing mentoring programs. Mentoring programs are now correctly recognized during CSV imports, allowing data uploads to complete successfully. |
|
MAC-2469 |
Resolved an issue where non-default programs were not recognized during bulk uploads. |
Fixed an issue in Coaching and Mentoring where bulk user uploads containing non-default (custom) programs failed to process and threw an "Unrecognized Programs" error. With this fix, non-default program names are properly indexed and recognized during bulk CSV user imports, allowing records to preview and upload smoothly without disruption. |
|
MAC-2470 |
Role-based users can now add mentorships with a user list upload |
Role-based users with the right permissions can now upload a user list, and the mentorships are created. Mentor and program details now show up for each mentee as expected. |
