Apply for a Job

This section outlines how applicant data flows between the Applicant Tracking System (ATS) and SchoolSpring (SS) during the application process. Understanding this mapping helps ensure data accuracy, reduces redundancy, and streamlines the application experience for users. It explains which data fields are synchronized and identifies potential technical issues.

Personal Information

Enusre at least name, address, email address, and phone number are present, which allows employers to quickly identify and contact you if needed. Some fields are mapped to SS, while others remain only in ATS. You can fetch data from ATS, display it, and update it back to ATS. You can review discrepancies and choose which data to retain, ensuring that critical updates are not lost.

The Find a Job tab allows users to search for, review, and apply for jobs.

  1. On the Find a Job tab, enter a Job Title or Employer and a Location.

  2. Click Search.

  3. Optionally, enter a CategoryGrade Level, or Job Type to narrow your search. 

  4. Click on a job to review more information about the job. 

    1. Click the Favorite icon to save this job in your Saved Jobs.

  5. Click Apply for the job to review the application and apply. 

On the map view:

  1. Click a Job Count icon to narrow your map view and review jobs in that location.

  2. Click a job to review more information or apply for the job. 

If you are looking to apply for an internal job, you must update the Internal Job Settings option from the Internal Jobs tab or via the User Profile settings by confirming your email ID, as most district restricts the internal job postings to be visible to applicants with an external account type.

The apply to job page requests the following information (mentioned as separate headings) must be completed to submit the job application.

  1. You must complete all required fields and click Next on each page to progress through the application. Note that the system automatically saves the information filled on a page so that you can resume back to continue from where you left. You can leave the application at any time, or a period of inactivity will cause the system to log you out.

  2. When you have completed all the pages and have reviewed your information, click Submit. After your application has been submitted, you will only be able to update your profile information, so review your application carefully before submitting it.

  3. After your application is successfully submitted, you will receive a confirmation message. You can use the confirmation message details to reference your specific application. You will also be able to see the status of all applications you have submitted by navigating to the Submissions -- Application Status menu in your account.

Education

Provide information about your educational background, including the schools attended, degree attained, and GPA. Some education-related fields are mapped to SS, while others remain in ATS. A profile selector allows users to prefill data from SS education records. Updates made to education data in ATS do not sync back to SS.

If you update an education record and later select a different one, then you must manually review and update fields to avoid data mismatches.

Education - EasyApply

Education details entered via EasyApply are initially stored in SS. Upon submission, these details are added or updated in ATS. Use the SSEducationID to link ATS and SS records, ensuring consistency.

Employment History

Provide details of past employers, job title, dates of employment, supervisor details, a description of duties performed, and reason for leaving. Some employment history fields are mapped to SS, while others remain in ATS. The profile selector allows users to prefill SS professional experience data. Updates to professional experience sync back to SS.

If you update an employment history record and later select a different one, then you must manually review and update fields to avoid data mismatches.

Job Skills

Provide information on any special certifications or qualifications you possess that may be relevant to the job, such as computer programming, foreign language proficiency, or other specific skills along with the grade level and expiration date. Some job skill fields are mapped to SS, while others remain only in ATS. The profile selector allows users to prefill existing SS licenses and certificates. Updates made to licenses and certificates sync back to SS.

Beware of data mismatch risks when you unintentionally save incorrect or outdated information when switching between profiles or updating fields that do not sync across systems.

References - EasyApply

Provide at least two professional references and one personal reference detailing names, contact information, relationship, and dates worked with the reference to verify the accuracy of your job application. Or you can select reference details entered via EasyApply that are stored in both SS and ATS. Upon final submission, the references and application match data are updated in ATS, ensuring that references remain consistent across both systems and reducing manual data entry errors. Updates can be made in the submissions tab.

If a new reference is added, update the application match in ATS.

Cover Letter

Type a cover letter or select a cover letter stored in both SS and ATS. Users can update attachments through the submissions tab.

Attachments

Add the resume, transcript, and certification details applicable for the job. Resumes, transcripts, and certifications are stored in both SS and ATS. Users can update attachments through the submissions tab.

Essay Questions

Provide details about how you can contribute to this job, your important qualities as an educator, and motivate children to achieve their academic progress.

Review and Submit

You must review all the entered information, privacy policy, disclaimer, district policy, and agree to the application confirmation statement before submitting the application for the job.

The following functions are done in the background.

  • Highly Qualified Certification: Certification details are stored directly in ATS. No synchronization with SS is required.

  • DPS Verification: The DPS verification process is managed entirely within ATS. No data is transferred to SS.

  • Experience History Verification (EHV): Experience details are initially stored in SS. Upon final submission, these details are updated in ATS.

  • Dynamic Forms: Data from dynamic forms is saved in ATS custom form tables. Fetch data from ATS using publish type ID and job ID, then update it back to ATS.
