Add a Security Group

Security groups grant users specific rights depending on what their role is within the organization. These groups can be set up to include and limit certain functions. Employee Records has three default security groups that cannot be edited: System Admin, HR Staff, and Staff.

Security Group Setup

  1. Choose Configuration from the main menu.

  2. Choose Security.

  3. Click Add Security Group.

  4. Enter a name.

  5. Select applicable options for the security group.Direct Report/Supervisor Security — Users can see folders of their direct reports or all staff members.Feature SecurityDocument Access History — Users can view sleeve history and checklist completion status within users' files.Filing — Grants access to the filing tool (scanning feature).Configuration SecuritySee the Configuration Security Options table for detailed information.Folder Security — Controls access to folders within the site. If the folder is enabled/selected, users in this security group will have access to the folder and its sleeves. If the folder is not enabled/selected, users cannot access the folder in their direct reports’ files or their own. Security is set at the folder level, so providing access to the folder will provide access to all sleeves within that folder.DR/Sup Folder Security — This section is a drill-down of the Folder Security section and determines which specific users will have access to the contents of each folder if that folder is enabled for the security group.

  6. Click Save. A column is added to the Security Summary page for the new group.

User Files View

View anyone’s files from the file cabinet. If this feature is not checked, but “View All Staff” has been selected in Direct Report/Supervisor Security, a user in this security group will not be able to see any files and will receive a “403 Forbidden” error page.

Access the Configuration and the Setup Tools menu.

Staff Edit

Edit staff/user accounts in Configuration.

Security Groups – View

View security group setup in Configuration.

Security Groups – Edit

Edit security group setup in Configuration.

Dropdown Lists – Edit

Edit choices in dropdown lists.

Worfklows – Edit

Edit workflows in Configuration.

E-Forms – Edit

Edit E-Forms.

Documents – Edit

Edit Documents.

Add New Folder

Add new folders in Configuration and Staff Files. This setting also allows users to archive documents in sleeves.

Checklists – Edit

Edit checklists in Configuration.

I-9

View completed I-9s within employee files.

Zendesk Support Tab

Access the Support tab for customer support.

Roles

Create and edit Roles.

Checklists – Assign

Assign checklists.

Checklists – Unassign

Unassign checklists from staff files.

Answer Bank

Access the answer bank.

Locations

Access to view, create or edit locations.

Groups

Create and edit Groups.

Help

Access to the Help option within the Support tab, for access to the Knowledge Base.

ChemLab

Access to the Chemlab.
