Overview
Group Check-In allows mentors to document a mentoring session with multiple mentees at the same time. Mentors can record and analyze a group session or enter notes manually. After the check-in is saved, the session record appears in each participating mentee’s check-in log.
The existing process for conducting an individual check-in remains unchanged.
Enable Group Check-In
An administrator can enable Group Check-In for mentors in Admin Configuration. No additional configuration is required.

Group Check-In Limits
Group check-ins that use transcription can include up to 15 mentees at a time. This limit is based on the transcription functionality.
There is currently no limit on the number of mentees that can be included when notes are entered manually.
View Group Check-In Records
A group check-in record appears in the Check-In Log for each mentee included in the session. Each participating mentee sees the same check-in record.
A Group indicator appears in the Check-In Log to identify records created from a group check-in.
Understand How Time Is Recorded
The duration recorded for each participant is the duration of the group check-in.
For example, if a mentor conducts a one-hour group check-in, the mentor receives one hour and each participating mentee receives one hour. The mentor’s time is not calculated by adding together the hours assigned to all mentees.
Because of this calculation, the total of all mentee hours shown on a mentor’s page may differ from the mentor’s total hours on the Data Dashboard when group check-ins are included.
Edit a Group Check-In
Existing mentee editing permissions also apply to group check-ins.
When a group check-in is edited, the changes are reflected in the check-in record for every mentee who participated in the session.
Report on Group Check-Ins
The Data Dashboard provides reporting on the total hours logged for individual and group check-ins. A detailed page is also available for this reporting category.
