Review Survey Settings and Notifications

Surveys can be created within Professional Learning and distributed to end users once they are marked as Completed in a course to gather feedback. These survey results can be accessed by various Office-Based Roles and exported as needed.

Types of surveys

  • Course surveys are assigned at the course level, allowing participants in every section marked as Completed to take the survey. These surveys may be required for the end user to receive credit on their transcript.  

  • Section surveys are additional survey options assigned at the section level, allowing participants who are marked as Completed in that specific course section to take the survey. These surveys cannot be made mandatory, but they can be pre-scheduled to open for users on a specific date.

If Course Surveys are enabled, a Course Survey field will appear on all course forms in Professional Learning. The course creator will assign a Course Survey during the creation process.

If Section Surveys are enabled, a Section Survey field will be displayed on all section forms within Professional Learning. The course creator will designate a Section Survey at the course creation, select a date for when the survey will open, and specify the number of days the survey will remain open.

The baseline configuration of your site includes Course Surveys as an enabled setting. 

To review and finalize your Survey Settings:

  1. Navigate to Professional Learning > Configuration > Survey Settings.

  2. Leave Enable Course Surveys turned on if your district plans to use them. Toggle this setting off if they will not be used. If using them, continue with the remaining settings.

  3. Select a Default Value for Course Survey to appear as the automatic selection when a course is created.  

  4. Toggle on Require Course Survey Completion for the Awarding of Credit if desired. 

  5. Availability of Surveys:

    1. It is recommended to have Open surveys based on the section end date turned off. 

    2. It is recommended that you enable Close surveys based on the section end date. Update the number of days after the section end date to close the survey as needed.  

  6. Toggle on Section Surveys if desired.

  7. Course and Section Survey Settings – users marked as Complete – Pending Survey and Completed on the roster of a section will have the assigned Survey available to them. Add any other eligible roster statuses as needed. 

End user access to surveys

Once a user is marked Complete-Pending Survey or Completed in a section, the assigned survey is available in Professional Learning.  

Navigate to Professional Learning > Dashboard > My Surveys widget.

Users can also be notified through email reminders to complete surveys.  

Review Notifications

To review and finalize your survey notifications:

  1. Navigate to Professional Learning > Configuration > Survey Notifications.

  2. Toggle On or Off the survey notifications your district plans to use.

  3. To edit a Course or Section Survey Reminder:

    1. Select the pencil icon to edit the notification.

    2. View the available macros on the left that can be included in the email subject and message text.

    3. Update the email subject and message text as needed.

    4. Update the frequency of the two settings:

      1. Send notification ___ days after registration status change if survey not complete

      2. Continue sending every ___ days thereafter until the survey is complete

    5. Select Save.

Review Results 

If a course and/or section survey is assigned, the results are visible to designated roles in that section of the course. 

  1. Navigate to Professional Learning > Manage > Manage Courses.

  2. Open the course.

  3. Select the Section tab, open the Section.

  4. Navigate to the Survey Results tab.

  5. View overall survey completion data, and expand Aggregated Course Survey Results to view survey responses.

  • Finalize Survey Notifications
