Review Survey Settings and Notifications
Surveys can be built within Professional Learning and issued to end users as they are marked Completed in a course to solicit feedback. These survey results can be made viewable to various Office-Based Roles and exported as needed.
Professional Learning has two types of surveys:
Course surveys are assigned at the course level, so that participants in every section of the course who are marked Completed are able to take the survey. These surveys can be required in order for the end user to be awarded credit on their transcript.
Section surveys are additional survey option assigned at the section level, so that participants in just that section of the course who are marked Completed are able to take the survey. These surveys cannot be required but can be pre-scheduled to open to users on a specific date.
If Course Surveys are enabled, then a Course Survey field will appear on all course forms within Professional Learning. The course creator will designate a Course Survey at time of course creation.
If Section Surveys are enabled, then a Section Survey field will appear on all section forms within Professional Learning. The course Creator will designate a Section Survey at time of course creation, select a date that the survey will be opened, and designate the number of days the survey will remain open.
The baseline configuration of your site includes Course Surveys as an enabled setting.
To review and finalize your Survey Settings:
Navigate to Professional Learning, Configuration, Survey Settings.
Click Enable Course Surveys if your district plans to use Course Surveys. Toggle this setting Off if Course Surveys will not be used. If using Course Surveys, continue with the remaining steps.
Select a Default Value for Course Survey to appear as the automatic selection when a course is created.
Toggle on Require Course Survey Completion for the Awarding of Credit if required.
Availability of Surveys:
It is recommended to keep Open surveys based on the section end date off. We also recommend leaving Close surveys based on the section end date enabled. Update the number of days after the section end date to close the survey as needed.
Toggle on Section Surveys if required.
Course and Section Survey Settings – users marked Complete – Pending Survey and Completed on the roster of a section will have the assigned Survey opened to them. Add additional eligible roster statuses as needed.
End user access to Surveys
Once a user is marked Complete-Pending Survey or Completed in a section, the assigned survey is available to the user in Professional Learning. Navigate to Professional Learning > Dashboard > My Surveys widget.
Users can also be notified through email reminders to complete surveys.
To review and Finalize your Survey Notifications:
Navigate to Professional Learning, Configuration, Survey Notifications.
Toggle On or Off the survey notifications your district plans to use.
To edit a Course or Section Survey Reminder:
Select the pencil icon to edit the notification
View the available macros on the left that can be included in the email subject and/or message text.
Update the email subject and message text as needed.
Update the frequency of the two settings:
Send notification ___ days after registration status change if survey not complete
Continue sending every ___ days thereafter until the survey is complete
Select Save.
Review Survey Results
If a course and/or section survey is assigned, the results of the survey are visible to designated roles from the section of the course.
Navigate to Professional Learning, Manage, Manage Courses.
Open the Course in question.
Select Section, open the Section in question.
Click Survey Results.
To view survey responses, click Overall survey completion data, and expand Aggregated Course Survey Results.
