Task Groups

District-defined, self-serviceable task groups let districts group tasks into larger activities, giving their principals and staff a simplified and focused view of the evaluation process. This helps everyone stay on track and not feel overwhelmed.

There is a new drop-down set called Task Group Category. This is the configuration point for District Defined Categories found on Step 2 - Tasks when setting up processes.

The user interface for Step 2 - Tasks has changed in the following ways:

  • Meetings and Todos are presented before Forms.
  • Form Search is now available, making it possible to search for forms based on form names.
  • Preview button has been removed. To preview a form, select the form. Functionality has not changed.
  • + UI element has replaced Add. Functionality remains the same. Note that the form name is retained with the Task when added to a process. This is new functionality.
  • Drag and drop handle has been added to tasks.
  • Task Edit, Actions, and Remove buttons and icons have been consolidated under the ellipse (...). Functionality has not changed.
  • SHOW ALL RULES button has been replaced with a Show All Rules toggle. Functionality remains the same.
  • Caret has been added for each task. Selecting caret displays rules for that individual task.
  • There is a new toggle called Groups.
    • District Defined Task Groups populate from the drop-down set called Task Group Category.
    • Task Groups can be named, cloned, or removed.
    • Selecting + next to the Task Group adds it to the process for configuration.
    • Dragging and dropping tasks into the Task Group creates the group.
    • A Task Group is required when all tasks in the Task Group are required.
    • Task Groups honor advanced scheduling and prerequisite configuration.
  • Task Groups can be expanded and collapsed when viewing a process.
  • Task Groups have the following statuses:
    • Not Started: No tasks within the Task Group have been started.
    • In Progress: At least one task within the Task Group has been started.
    • Completed: Tasks Groups are marked as completed (green checkmark) when:
      • All required tasks are completed.
      • If there are no required tasks, then the Task Group is completed when all tasks are complete.
  • Task Groups can be assigned when the box ""Allow tasks in this process to be delegated"" is selected AND no tasks within the Task Group have been completed are currently assigned. Note that in the latter case, individual tasks can be assigned or reassigned. Checking the send notification box will send a single notification to the assignee listing all tasks in the Task Group.
  • Task Groups can be removed when there are no required tasks in the Task Group. Note that if a task within the Task Group is completed then the Task Group cannot be removed.
  • Task Groups can be marked completed via the bulk actions.
  • Task Groups are displayed in the My Folder > Incomplete Tasks and My Folder > History view.
  • Task Groups are displayed in a direct reports Folder > Process and Folder > History view.
  • Processes with Task Groups can be cloned and propagated.
