GeneralEnhancementImplemented the Substitute feedback feature on the jobs section

SmartFind Express has introduced a new feature to give absent employees (or Admins) feedback to the Substitute on the jobs they have worked. The feature can be enabled by navigating to the menu path: select Parameters, choose General, and then select Substitute feedback on the jobs section.

  • Option to enable 5-star rating as well as question-based feedback for substitute.

  • For question-based feedback, the maximum number of questions allowed is 10. The school district can create their questions after this feature is enabled by navigating to the menu path: select System Configuration and choose Substitute feedback questionnaire section).

  • Absent employees can give feedback to the Substitute after they are back from the absence. The school district can configure the number of days after the job ends, for employees to give the feedback, after which the feedback will be disabled for editing.

  • Admins can see the substitute feedback and edit if needed, from the job details, where a new link will be shown for substitute feedback.

  • If the school district wants the feedback to be visible to the substitute, then the district can enable the show feedback to substitute parameter, which is disabled by default. This will open an additional option: Verify, for the Admins to verify the feedback. Only verified feedback will be shown to the substitute.

Implemented the new Employee Absenteeism report

A new Employee Absenteeism report is available to check the absenteeism rate and attendance rate. For this, a new field has been added on the profile of the employee users to mark the ‘total working units in a calendar year’. To enable this, select the parameter “Enable feature to import and show total working hours for employee in a calendar year” in the menu path: select Parameters, choose Employee, and then select Browser Access section.

The total working units on employee profiles can also be populated in bulk by a new import in the following format:

Note: This import format is based on the classifications. All Employees having the classification will have the change reflected.   The last input is the working unit – either hours or days. Y stands for days; N stands for hours.

Sample Import for Adding 150.00 days as total working units for all employees belonging to Classification code 1234

After the total working units are populated on Employee user profiles, their Absenteeism and attendance rates can be viewed by navigating to the menu path: select Reports, choose Employee Absenteeism Report, and then select the required filter to generate the report.

System Communication LogImprovementUpdated the message wording to the Substitute Assignment Cancelation email

A minor wording change has been made to the Substitute Assignment Cancellation email, to emphasize the message is different if the Substitute canceled the assignment or the district (employee or Admin) canceled the assignment.

  • If Substitute cancels: THIS MESSAGE CONFIRMS THE SUBSTITUTE HAS CANCELLED OUT OF THE ASSIGNMENT

  • If Admin or Employee cancels: THIS MESSAGE CONFIRMS THE SUBSTITUTE HAS BEEN CANCELLED OUT OF THE ASSIGNMENT

Enhancement has been made to update the substitute time worked accurately when the job is split based on the split jobs' changed times.

There were some reports of issues faced by Substitutes having connection issues or seeing a message: “undefined is not an object”. This has been fixed and resolved and is available as an update to the SFE Substitute Mobile app.

Also, for school districts which allow the cancellation of assignments by Substitutes, the Cancel option on the pre-arranged job has been fixed, which was earlier not shown on the mobile app.
