Login Security Enhancements - Passwords

New password requirements:

  • Every user will be prompted on login to create a new password if there is no previous password on the profile.
  • Every user will be prompted on login to create a new password if the user tries to login via the PIN.
  • All the districts will have Access Id - Password as their default local authentication after this release.
  • Trouble Signing In link has been renamed for Forgot Password.
  • Once the user exceeds the maximum number of failed login attempts, the user account will be locked, and they need to use the Forgot Password link to reset their password.
  • Passwords will expire after a period set for the Districts.
    • Password expiry notifications will be sent as emails to the users ten days before the expiry of password, with instructions to reset the password.
    • Password expiry notification message will be shown on the user profile.
    • Users can use the Forgot Password link to reset their passwords.
  • Operators/administrators can view the Locked and Expired password label near the user profile password field.

Changes for PIN maintenance:

  • PIN cannot be modified (changed to a different value) through the P1 or P3 imports.
  • PIN viewing has been disabled as an option from the reports within profile inquiry pages.
  • PIN column has been removed from the Phone Call monitor display.
  • Access ID-PIN local authentication option has been removed after this release.
  • Positions of PIN and Password has been inter-changed on the profile view.
  • The checkbox for Profile - PIN and Password in Menu access permissions has been moved from being under View to being under Modify column.
  • PIN (& Password) fields in the personal information page have the PIN/Password complexity as background texts. For the PIN change, current PIN field has been removed, so that user can directly reset their PINs.

New email validation feature:

  • Email validation indicator displays on the profile.
  • Resetting registration or changing the email on the profile will reset the validation of the emails.
  • Users will be prompted to validate their emails on first login/login after registration.
  • Email validation pops up on the homepage to validate email; validation link will be sent to the user email address.

Registration process enhancements:

  • New Reset Registration button on the profile will reset the PIN to match Access ID.
  • Registration History link to view dates when the user registers.
  • Registered Status indicator to indicate if the profile is registered/un-registered with the system.
  • Ability to send Welcome Email to unregistered accounts.
  • Message shown to users to register when they log in with an unregistered account
  • Registration IVR call enhancement to tell the user to validate email on logging in after registration.

W1 import modifications:

  • Password field within the W1 import has been made a reserved field.
  • LDAP Username is no longer mandatory within the W1.

New email notification feature:

  • Ability to send Welcome Email to a group of users.
  • Ability to select from or define an email template.
  • System defined Welcome email template can be modified based on District needs.

A new filter – Registered - was added to the administrator profile inquiry page, enabling the creation of groups of registered/unregistered administrators.

Security Enhancements

Mobile App Enhancements – Communications and Calendar

The following enhancements were made within the mobile app:

  • Now local authentication options are on the mobile login page.
  • A new Communications tab was added to the bottom navigation.
    • Substitutes can acknowledge communications
    • Substitutes can create a PIN for important communications
    • District communications can PUSH notifications to the substitute's mobile device
    • New communication indicator
  • A new Calendar tab was added to the bottom navigation.
    • Ability to see half day am/pm, full day, custom duration of the job on the Calendar
    • Ability to view unavailability, NSR day, non-workday, holiday, past dates
    • Date-filtered list view for workdays and non-workdays
    • Ability to view job duration in list view
    • Ability to view job details from the calendar

Added Parameter to Control Employee Job Cancellation

A new parameter has been added - Allow employee to cancel jobs - with default as checked. If this parameter is unchecked, then the employees will not see the cancel option on their jobs.

Added a note next to the parameter 'Allow employees to create NSR jobs in the past' saying that all the job segments of this job need to be in the past. The job, when created in the past, cannot have a job segment in the future.

Fixed the issue where the job location link was not taking the user to the Google Maps view of that location.

Resolved Job Acceptance by Substitutes without Classification or Location

Resolved the issue when the substitutes were able to take jobs over the IVR and web, but they did not have the classification of the job on their profile or were not on the location's preferred list.
