Location Profiles

Locations are the individual sites where you can assign employees and match substitutes who are willing to work at a location. An employee must have at least one location record in their profile. If an employee profile has multiple locations, the employee must enter separate absences for each location. Substitutes can list locations in their profile in their location preferences or priority lists.

System administrators voice location descriptions that will identify the location on the telephone.

Add Location Profiles

  1. From System Configuration, choose Location Profiles.
  2. Click New.
  3. Complete the fields as necessary. Optionally, you can do the following:
    • Enter the number of absences that should fill with in-house personnel at the location for each workday.
    • Select to allow employees to specify or pre-arrange a substitute for the location.
  4. Click Save.

For new locations, you must also create a telephone voicing.

  1. From Telephone, choose Telephone Voicing.
  2. Select Locations for the Type, then click Search.
  3. Click the ID for the new location.
  4. Call the system and enter your Access ID followed by the star key, enter your PIN followed by the star key.
  5. Press 5 on your telephone keypad to record system voicing.
  6. Follow the prompts to record and replay the recording.

Manage Profile Information

  1. From System Configuration, choose Location Profiles.
  2. Enter the search criteria, then click Search.
  3. Edit the Profile fields as needed, then click Save. To remove the profile, click Delete.
  4. Click Groups.
    • Click New. Choose the Location Group, then click Save.
    • Select the Location Group to remove, then click Delete.
  5. Click SAU.
    • Click New. Complete the fields as needed, then click Save. You can only establish one period at a time for a location. If you change to another allocation period, click Yes to confirm that all existing SAU balances will be removed.
    • Select the SAU to remove, then click Delete.
  6. Click Times.
  7. Enter the location and callout times as needed. The Location Times indicate the start and end of the workday at the location. The Callout Times indicate the prior evening and current day morning callout times.

    Set earlier callout times to help fill jobs first for "hard to fill" schools or to call secondary schools before elementary schools due to earlier school start times.

  8. Click Save.
