Job Postings

The Job Postings page lists the active job postings in a tabular format with these fields.

Field

Description

Job ID

The system-generated number for each job posting.

Ref #

The job code or number that you use internally. This is an optional field.

Job Title

The name you give when you create a new job posting.

Posted

The date the job was posted.

Close Date

The date the job posting was closed.

Status

The job posting's current status within the system.

Action

Provides the option to edit, copy, or share a job posting.

Note: You can view a job posting by clicking the job title text link in the Job Title column.

Post a New Job

To post a new job, click the New Job Posting text link on the Job Postings page. All starred (*) components are required fields in the following panes on the New Job Posting page.

Job Details

The Job Details pane lists these important fields to be filled.

Initial Status

SchoolSpring Complete offers the ability to choose between two options for posting a job.

  • Public: This job posting will be viewable on SchoolSpring, and any other applicable locations, as soon as the posting is saved.

  • Pending: The job posting will not be viewable on SchoolSpring until the posting is edited or approved and the status is changed to Public.

Title

Descriptive name of the job posting. It will be seen by all job seekers and viewed in the job search. You can include the FTE of the job, if it is part-time, temporary, and/or if it is an anticipated opening, and so on.

Categories

Choose any or all selections from the categories and their respective subcategories, as applicable. These selections correspond with the candidates in the Candidate Pool and initiate Job Alert emails, notifying candidates of potential job matches. If you do not see a job category that is an exact match, select the one that is the closest match.

A list of all the current categories can be found in Appendix A.

Location(s)

Choosing a job location indicates two things.

  • The actual location of where the job is indicating the applicants where they will be employed.

  • Allows the SchoolSpring users for that chosen location to have access to the job posting, after it is posted.

All the job locations that you have entered into the system are displayed in a dropdown menu. You can select multiple job locations per job posting.

# of Positions

Indicates the number of open positions for the job posting.

Job Type

Choose one from the listed options: Full-time, Part-time, Summer, and After school/Evening.

Grade Level(s)

Choose one or more grade level from the listed options: Preschool, Primary, Intermediate, Middle, Secondary, Post-secondary, and Not applicable.

Salary

Optional field to enter the salary information.

  • To display a salary range enter both the "From" and "To" amounts.

  • To display a set pay amount (e.g. $8 per hour), enter only the "From" amount.

  • To display salary as "Up to $x per x" enter only the "To" amount.

Display Salary

Optional field to choose Yes or No to display the salary range to job seekers on this job posting.

Job Reference #

Optional field to enter a job code or number that you use internally to reference your job posting.

Vacancy Reason

Optional field that employers can use for internal use only reasoning why the position is vacant, and any other information you may want to include. These fields are not seen by the job seeker but included in the New Hire Report.

Job Description

The Job Description pane is used to display information and explain the job being posted. This may include location information, benefit options, responsibilities, goals, schedule, duties, and so on. It is very important to use this field and enter applicable information. It is how the applicants determine if they want to apply. A better job description attracts qualified applicants.

Job Requirements

The Job Requirements pane lists these important fields to be filled.

Choose appropriate requirement or if you do not want a degree to show up, select Not applicable from the drop-down menu.

Experience Preferred

Choose appropriate requirement or if you do not want an experience to show up, select Not applicable from the drop-down menu.

Work Eligibility

Choose appropriate requirement regarding citizenship, residency, or work visa. If your requirement is not listed, please indicate in the Additional Requirements field.

Additional Requirements

Allows you to list additional requirements for this posting. It is a good practice to list all requirements for the posting, so applicants see a comprehensive list in one place.

Dates and Deadlines

The Dates and Deadlines pane lists these mandatory fields to be filled.

Application Deadline

Choose the date the job posting should close or select the Open until filled option.

Note: If you select the Open until filled option, the job posting will remain open for 60 days, then will automatically change status to review. The job owner/job contact will each receive multiple notifications prior to the 60-day mark, giving them the option to extend the job posting, if required.

Employment Start Date

Choose the employment start date for this position or select the Start immediately or To Be Determined option.

Work Eligibility

Choose appropriate requirement regarding citizenship, residency, or work visa. If your requirement is not listed, please indicate in the Additional Requirements field.

School Year

Choose the school year or time period for which this job posting applies. It is used to inform applicants, as well as for reporting purposes.

Contact Information

The Contact Information pane lists only the Job Contact mandatory field to be filled. The purpose of a job contact is to provide the candidates with a point of contact to request information about the job. The job contact can be a user or an alias. The job contact’s information appears at the bottom of the job posting. Districts can make any user in the district as the job contact, or they can make an alias, for example, Human Resources as the job contact. This feature can be used if you do not want candidates to directly contact you.

If you are selected (not an alias), you have full access to the job posting.

  • A confirmation email is automatically sent to the person who posted the job, each time a new job is posted.

  • Job Contact, the primary contact for the employer will receive one email every day listing the jobs that received new applications during the previous day.

Application Options

The Application Options pane allows you to control some of the application information that candidates submit. You can choose one method: Application instructions included in job description above or Direct applicants to this web page or email address.

When your job posting is complete with the required details, click Post Job. If you made an error, a message would appear on the New Job Posting page. Make the corrections and click Post Job again.

Print Jobs

The Print Jobs text link on the Job Postings page opens a new window with the job posting table details that can be printed.

Sort Job Postings

To access the Job Postings page, click the Job Postings tab on the SchoolSpring banner or the Home page.

You can sort the list of Job Postings by clicking on these column headers: Job ID, Ref #, Job Title, Posted, Close Date, or Status.

You can also sort the list of job postings by clicking on the View only… drop-down menu on the Job Postings pane and selecting either Job Status is, Location is, School year is, or Job owner is.

Job Status is

This drop-down menu will display this list when you select Job Status is.

  • Any job status

  • [All Active]

  • [All Inactive]

  • Pending

  • Posted

  • Review

  • Filled

  • Canceled

Location is

This drop-down menu will display the list of locations that you currently have setup in the SchoolSpring system when you select Location is.

  • Any location

  • Currently selected School location

School year is

This drop-down menu will display this list of school years that you currently have setup in the SchoolSpring system when you select School year is.

  • Any school year

  • List of school years (one by one)

Job owner is

This drop-down menu will display the list of job owners that you currently have setup in the SchoolSpring system when you select Job owner is.

  • Any job owner

  • Currently selected job owner

Change a Job Status

To change the status of a job posting, click the Status drop-down menu to select the appropriate status.

Status

Definition

Pending

Job created before it’s ready to be publicly posted.

Posted

This is the default status, publicly available for applications.

Review

Job applications no longer accepted.

Filled

Job has been filled and is no longer active in the system.

Canceled

Job has been canceled; no applicants were hired for the position.

Note: Employers should not re-open old jobs. They must either Post a New Job or use the Copy a Job Posting functionality to create a new job posting from a copy of an old job posting.

Manage Job Postings

To view a particular job posting, click the title for that job in the Job Title column. The Job Posting page is displayed with the Job Details and Job Components navigation panes. If you have location or system admin privileges or is the job owner, you will be able to edit certain parts of the job posting and click Save Changes. If you do not have these permissions, you will see the posting as “view only”.

Job Details

This navigation pane details the Job ID, Job Title, and Status of the job posting. You can change the Status of the job posting to Pending, Posted, Review, Filled, and Cancelled.

Job Components

This navigation pane includes the Job Posting and View Job Posting menu buttons.

Job Posting

This menu button shows you the job details for that particular job posting. If you have location or system admin privileges or is the job owner, you will be able to edit certain parts of the job posting and click Save Changes. If you do not have these permissions, you will see the posting as “view only”.

View Job Posting

This menu button will open the job posting that is being posted on the SchoolSpring website.

Edit a Job Posting

  1. Click the Edit job posting icon in the Action column on the Job Postings page. The Posting Details pane shows the Last Updated, Date Created, Display Date, Date Closed, and Job Posting Views details.

  2. Edit the job posting. Only certain parts of the job posting are enabled to be edited. This maintains continuity between all applicants. If you must make changes that you cannot edit, you will need to copy the job posting as detailed in the following section.

  3. Click Save Changes.

Note: You must have the Job Owner or Job Contact access permission to edit the information in a job posting. The Display Date and Refresh to today link only appear to SchoolSpring employees.

Copy a Job Posting

This feature allows you to copy an existing job (active or inactive) in your account and create a new job posting from it. This feature can be used to save time if you have many job postings to enter and if they share a lot of duplicate information. You can create one job posting and then make copies of that job posting that can then be edited.

  1. Locate the job you wish to copy and click the Copy job posting icon in the Action column on the Job Postings page.

  2. Make any additions or changes as necessary to the job posting details on The New Job Posting page. For example, the job location is the most common element that is changed.

  3. Select the appropriate School Year.

  4. Click Post Job on the New Job Posting page.

Note: If you are copying a job to make changes to a current posting, you must copy, make changes and save the job posting. Then you must contact all the applicants and advise them to withdraw and reapply for the position. Also, you must close the incorrect job posting by changing the status to Cancelled.

Share a Job Posting

  1. Click the Share job posting icon in the Action column on the Job Postings page. The Choose Location and Job Link fields are populated in a dialog window.

  2. Click Copy Link to copy the job posting link to the clipboard and click Close to close the dialog window.
