Manage Section Roster
Get Started
Choose Professional Learning from the main menu.
Choose Instruct.
Click the title of the applicable section.
Add Participants
Search for Learners
Click Add/Remove Participant(s).
Choose Search for Learners.
Find and select the applicable users.
If necessary, click Add Users and Search Again.
When finished, click Add Users.
Add Using Advanced Method
Click Add/Remove Participant(s).
Choose Add Using Advanced Method.
Select the type of identifier and the type of separator you will use.
Input the specific identifiers. You can copy and paste the identifiers into the field provided.
Click Preview.
From the list of users associated with the identifiers provided, select the applicable users.
When finished, click Add Users.
Remove Participants
For a single participant, click the ellipsis, then Remove From Roster.
To remove multiple participants at once:
Click Add/Remove Participant(s).
Choose Remove Multiple Participants.
Find and select the applicable users.
Click Remove.
Click Confirm.
Email All Participants
Click Messages and Email, then choose Email All.
Enter the Subject and Message.
Optionally, deselect participants from receiving the message.
Click Send.
Update Registration Status for Participants
For a single participant, click their Registration Status menu (down arrow), then choose the appropriate status.
To update all participants:
Click Edit All in the Registration Status column header.
Click Update all manually.
Choose the appropriate status
Click Update All.
Changes save automatically.
Update Credits for Participants
For a single participant, click their Credits menu (down arrow), then choose the appropriate credit.
To update all participants:
Click Edit All in the Credits column header.
Choose an update option.
Complete the fields applicable to the option you chose.
Click Update.
Add Notes on a Participant
Click expand for the desired participant.
Enter comments.
Click Add Notes.
Click collapse.
Move a Participant to the Waitlist
If a waitlist is available for the section, click the ellipsis for the applicable participant, then click Move to Waitlist.
Lock Participants
For a single participant, click their Locked/Unlocked icon.
To lock all participants, click Lock All and Close Section.
Once a participant is locked, no other user can:
update their registration status.
update their credits.
update their attendance.
remove them from the roster.
Once a section is closed, no one can:
make edits to the section details, instructors, class times, roster, waitlist, or attendance.
see the section in the course catalog.
register for the section, even if they have the registration link.
withdraw from the section.
Only system administrators with permissions can reopen a section that has been closed.
Lock Sections
Districts can now enforce a rule requiring roster file attachments—such as attendance or sign-in sheets—before locking and closing a section. This feature helps ensure that all necessary documentation is available for troubleshooting credit or participation issues.
This setting is available in the Roster and Waitlist settings page and can be enabled on a per-district basis. This setting is turned off by default for most districts.
This setting applies only if roster field attachments are enabled for sections and the selected course types.
To lock a section:
Navigate to Roster and Waitlist Settings in your Admin dashboard.
Locate the new toggle option: Roster file attachments are required before a user can lock and close a section.
Turn the toggle ON or OFF as needed:
ON: Users must upload at least one roster file attachment before locking or closing a section.
OFF: The section can be locked or closed without a roster file attachment (default behavior).
When this setting is ON and a user attempts to lock a section without a roster file attachment, the system:
Displays an error message informing the user that an attachment is required.
Prevents the section from being locked until the attachment is uploaded.
This ensures that all roster-related documentation is completed before closing any section.
