## Overview

This guide is designed to assist mentors in navigating the platform with ease, staying informed, and maximizing each mentoring interaction.

As a mentor, when you click on **Coaching and Mentoring** and select Home, you will be directed to the Mentee list.

To view details of individual mentoring sessions, click on the mentee's name, and you will be taken to the Mentee dashboard.

This guide aims to help mentors understand this product and effectively conduct their mentoring sessions.

## Log in

As a mentor:

1. Log in to the platform.

   * Click **Forgot password?** if you do not remember your password. Enter your username and click **Next**.

   * Click **Forgot Username?** if you cannot remember your username. Enter your email address and click **Next**.

2. From the toolbar, click **Coaching and Mentoring**, and select Home.

The Coaching and Mentoring home page will contain the Mentee list.

### 1. Roles and Access

MAC supports several roles. As a mentor, you primarily create goals, run check-ins, and track progress with assigned mentees.

* **Mentor**: Works with one or more mentees. Can create goals, tasks, check-ins, and log time.

* **Mentee**: Receives coaching; can view logs and, when enabled, contribute to goals/tasks/check-ins.

* **Lead Mentor**: Oversees mentors; pairs mentors and mentees (assignment flows may be performed by Lead or Admin).

* **Admin/Super User**: Configures programs, support areas, school years, and participant lists; manages roles and access.

Access to MAC is provisioned through Professional Learning (PL). If you do not see the Coaching and Mentoring tab, contact an admin to enable your role and refresh/clear caches as needed.

### 2. Key Concepts and Terminology

* **Program**: A configured set of support areas used by a mentorship. A single mentor can have mentorships in multiple programs. Programs appear in participant lists and in check-in and reporting contexts.

* **Support Areas**: District-defined coaching categories (for example, Classroom Environment). The set of support areas you see is determined by the mentorship's program.

* **Mentorship**: The relationship between one mentor and one mentee for a given school year and program. Tracks goals, time, and check-ins.

* **Goal**: A concrete objective for the mentee. Goals can include tasks, check-ins, discussions, and attachments.

* **Task**: An action item supporting a goal; can be assigned completion dates.

* **Check-In**: A mentoring session entry. Can be recorded live, uploaded via transcript/audio for AI analysis, or logged manually as time with summaries.

* **Attachments**: Files linked to goals, check-ins, or time logs.

### 3. Getting Started

1. **Sign in**: Open your district's PL portal and select the Coaching and Mentoring tab.

2. **Verify your role**: Confirm you see your Mentor dashboard or "My Mentees." If not visible, ask an admin to add the Mentor role in MAC.

3. **Confirm the school year**: Use the school year selector in headers where available; data and lists are year-scoped.

If you're newly assigned, you may initially see an empty mentee list. Lead mentors or admins pair mentees to mentors. Once paired, mentees appear automatically.

### 4. Daily Mentor Workflows

#### 4.1 View My Mentees

Go to the Mentor home or "My Mentees" list to see each mentee with key stats:

* Mentee name, email, primary location

* Goal count

* Hours coached

* Last check-in date and last activity

* Quick actions: Start Check-In, Log Time, Open Profile

Use filters and program columns to narrow lists when you work across multiple programs. Alphabetic sorting is commonly used by default.

#### 4.2 Open a Mentee Profile

From the list, select a mentee to open their profile, which includes:

* Header card: name, role, location, email

* Actions: Check In, Log Time, Create Goal

*

  * **Goals**: Active/inactive goals, last activity, attachment counts

  * **Check-Ins**: Date, duration, related goals/support areas, "is draft" indicator

  * **Support Areas**: Program-aware areas with time coached and recent activity

  * **Attachments**: Files across goals and check-ins

#### 4.3 Create and Manage Goals

1. Select Create Goal, give it a clear title and description.

2. Optionally set start and completion dates and associate to a support area.

3. Add tasks to break down the work; set target dates and mark complete as progress is made.

4. Archive a goal when it's no longer active; unarchive if needed.

Best practice: Keep goal titles outcome-oriented (for example, "Increase student engagement through exit tickets"). Use tasks for concrete, time-bound steps.

#### 4.4 Record a Check-In

You can log mentoring sessions in three ways:

* **Live Check-In**: Start a real-time session; when finished, add notes, associate goals/support areas, and save.

* **Upload for AI Analysis**

  * Upload a transcript/audio after a session.

  * Send to AI to generate a draft summary, goal/support area attributions, and action items.

  * Review/edit the transcript and summaries, adjust durations, and save to finalize (removes Draft status).

* **Manual Time Log**: Quickly log minutes spent, attribute time to mentoring activity, goals, and support areas, and add a brief summary.

Program-aware support areas: The choices presented in check-ins are based on the mentorship's assigned program. Ensure the mentorship is in the correct program before recording activity.

#### 4.5 Add Attachments

Upload relevant resources to a Goal or Check-In (for example, lesson plans, observation notes). Attachments are visible in context and from the mentee's consolidated attachments list.

#### 4.6 Collaborate with Your Mentee

* Use clear, shared goal and task names so mentees can track progress.

* When permitted, mentees can comment or mark tasks complete. Align on expectations during the first meeting.

### 5. Working with Programs and Support Areas

Programs define which support areas you see and report against for a given mentorship.

* **Program visibility**: The program appears in participant lists and on mentorship details.

* **Consistency**: Check-ins, goals, and reporting use the mentorship's program. Changing the program after activity begins is usually restricted by policy.

If you mentor across multiple programs, you'll see separate mentorship rows in lists. Filters can group or isolate work by program.

### 6. Reporting and Dashboards

Admins and lead mentors typically access dashboards. Mentors can use on-page summaries to reflect on:

* Hours coached by support area

* Recent sessions and activity

* Goal/task progress and completion trends

During check-ins, keep goal and support area associations accurate. Good categorization improves the quality of dashboards and coaching insights.

### 7. Privacy, Permissions, and Good Data Practices

* **Role-based visibility**: Mentors can access only their mentorships. Admins and lead mentors have broader oversight aligned to configuration.

* **Draft vs. final**: Uploaded check-ins start as Draft. Edit and save to finalize for reporting.

* **Quality notes**: Write concise, factual summaries. Avoid personally identifiable student data beyond district policy.

* **Attachments**: Only upload materials you are permitted to share within district guidelines.

### 8. Troubleshooting

I can't see the Coaching and Mentoring tab.  

My mentee doesn't appear in the list.  

I don't see expected support areas during a check-in.  

AI analysis didn't return a summary.  

My hours or goal counts look off.  

### 9. Best Practices for Effective Mentoring in MAC

* Start each mentorship by aligning on goals and preferred communication cadence.

* Use tasks to convert big goals into achievable steps with target dates.

* After each session, promptly log time and notes to maintain accurate trends.

* Leverage AI summaries as a starting point---always review and personalize.

* Regularly review the Support Areas tab to balance coaching focus.

5. Save to finalize; confirm updates on the mentee's Check-Ins tab.

# Program participation

The dashboard will include mentee details, such as the mentee's current role and place of work, content area, and assigned mentor's name.

To navigate, click **Mentee list** and click on a mentee within the **Mentees** tab. Select the **School year** to view mentoring information for that school year.

The Mentee dashboard has the following tabs:

* Check in logs: You can view transcripts from current and past mentoring sessions.

* Support areas: Identifies the areas of support that the mentee has discussed in previous check-ins, along with the total time spent on each area.

## Manage Check Ins

You can record and analyze check in transcripts using the inbuilt PowerBuddy AI engine, or log session details manually.

To record and analyze using AI:

1. On the dashboard, click **Record and analyze**.

2. Select **Transcript source**. Options available are:

   * **Use live audio transcription**: Allows you to record a mentoring session as it happens. Ensure you enable your computer's audio devices to record.

   * **Upload audio file** : Allows you to upload a recording of an existing mentoring session. Formats supported are MP3, M4A, WAV, AMR, FLAC, MP4, Ogg, and WebM. Click **Upload file**.

3. Click **Start transcribing** . To pause recording, click **Pause transcribing**.

4. To stop the recording, click **Stop transcribing**.

   * Click **Stop and analyze** to use PowerBuddy AI to analyze your transcript. PowerBuddy will begin generating and analyzing your transcript. To exit at any point, click **Return to Check in logs** to be redirected to the Check in logs screen.

   * Click **Stop transcribing**to stop transcribing and view the transcript. You will be redirected to the Check in log screen. While a transcript is still being generated, it will have the Draft label.

     1. On the Check in logs screen, click the transcript you want analyzed using PowerBuddy.

     2. On the review transcript screen, click **Analyze meeting** to summarize the transcript using PowerBuddy AI.

5. When the analysis is complete, you will be redirected to the transcript summary screen. To edit the summary, click the edit pencil icon. If needed, make changes to the Action items section.

6. Click **Save**.

To manually record details of a mentoring session:

1. On the dashboard, click **Record time manually**.

2. Select the **Date** using the date picker.

3. Select **Support areas**.

4. Enter **Support area notes** and **Time spent** on each support area.

5. Click **Log time**.

## Manage Check in logs

Transcripts are listed by their check in dates, goals, support areas, mentoring activities, hours coached, last activity, and session-related resources.

When a transcript is being generated, it will be labeled Draft. To analyze a transcript using PowerBuddy, click the respective check in log, and click **Analyze meeting**.

## Manage Support areas

This section summarizes coaching hours across different mentoring categories and allows mentees to review support areas in which they have received coaching.

Mentees can track their coaching sessions under the Support Areas tab, which includes:

* **Support Area Name** -- Categories of coaching received (e.g., Planning and Preparation, Learning Environments).

* **Status** -- Whether the support area is Active or Inactive.

* **Hours Coached** -- The total time spent on mentoring in that category.

# Sessions and Feedback

## Overview

The Mentees list includes all mentees' names, email addresses, primary locations, roles, mentee types, content areas, and assigned mentor's names. To email a mentee, click their email address.  
If you are a mentor for multiple school years, select the school year from the dropdown to view mentees for that year.

To search for a mentee, type the mentee's name in the search bar and press enter.

The mentee list provides the aggregated coaching hours, a timestamp of their last check in and a shortcut to start a check in.

To record and use PowerBuddy to analyze your session automatically, click **Record and analyze** . Refer to [Manage check in](https://ut.powerschool-docs.com/mentoring-mentor/latest/mentee-dashboard/ManageCheckIns) for more information.

To access the Mentee dashboard, click the mentee's name. Refer to the section titled [Mentee Dashboard](https://ut.powerschool-docs.com/mentoring-mentor/latest/mentee-dashboard) for more information.

### 1. Overview and Core Concepts

Coaching and Mentoring supports role-based coaching at scale, with configurable programs, support areas, and permissions. Administrative features span provisioning, system configuration, role/permission management, participant onboarding and pairing, and analytics dashboards.

### 2. Provisioning and Access

#### Admin Management (Super Users)

From the Coaching and Mentoring tab, select **Admin Management**.

* Add or remove Administrators. Any PL user can be designated; these users have super user visibility across the tenant's data and see the Home/Admin Management dropdown in the top nav.

* Admin persona toggles the visibility of Admin MFEs (Admin Configuration, Participant List, Dashboard).

### 3. System Configuration

Coaching and Mentoring → Admin Configuration. Configuration is typically district-scoped and school-year aware.

#### Reporting Categories

* Add/edit labels; set active/inactive. Only active items are used by AI during check-ins.

  * Once data exists, do not delete; mark inactive to remove from new analysis and UI choices.

  * Define the types of coaching time mentors log (add/edit/toggle active).

#### School Years

* Create school years with start and auto-calculated end dates. Data (mentors, mentees, mentorships, hours) is primarily school year-specific.

* Set the Current Year flag (only one); enable/disable years for MAC.

#### Mentee Attributes

* Mentee Types and Content Areas categorize mentees for analytics and drilldowns.

* Manage via Admin Configuration or during participant onboarding/bulk upload.

#### Permissions (District Policy)

* Check-In start permissions: Mentor only, Mentee only, or Both.

* Mentee access to check-in logs: None, Read-only, or Read/Write.

* Goal completion rights: Mentor only, Mentee only, Both.

Lead Mentor and group-based scoping is being expanded. When enabled, a role's scope restricts visible participants and dashboard aggregations to permissible sites/groups.

### Participant Management

#### Add Users (Manual)

* Open Participant List and choose Add User → Add Mentor or Add Mentee.

* Search PL/Unified Person by name or email; select user(s) to add for the selected school year.

* For mentees, set Mentee Type and Content Area; assign a mentor now or later.

#### Assign/Pairs (Mentorships)

* From Mentors tab, use Actions → Assign Mentees to create mentor--mentee pairings.

* Select Program at assignment time; this determines which support areas appear in check-ins and dashboards.

#### Bulk Upload

* Participant List → Add User → Upload User List.

  * Single-row semantics: values in Mentor and Mentee columns on the same row create a mentorship; only one side creates a new participant.

  * Emails must match existing PL records; verify before upload.

  * Include Program column to assign mentorship program (validated against configured programs).

  * Up to 500 rows per batch; use multiple uploads for larger imports.

* Save to commit records. Review deactivated/reactivation behavior during QA; current implementations may not auto-reactivate users/mentorships on upload.

Known behavior: Some environments do not automatically reactivate deactivated mentors/mentees/mentorships via bulk upload. Verify post-upload and reactivate manually if necessary.

#### Deactivated Accounts

* Use the "view deactivated account" toggle to audit deactivated mentors/mentees.

* Ensure UI handles deactivated relationships gracefully; avoid 404s by reactivating or providing clear messaging.

### Programs and Support Areas

Programs control which support areas are available for check-ins and AI analysis. Mentorships reference a single program; changing the program after activity may be restricted to preserve data integrity.

* Display program in participant lists and mentorship details.

* If a mentor works across programs, each mentorship appears separately.

* Ensure bulk and manual pairing flows capture program consistently.

**Outcome**: Accurate program assignment improves AI tagging, time attribution by support area, and dashboard quality.

* Role-based visibility: Mentors see only their mentorships. Admin/role users see data by scope and permissions.

* Check-in lifecycle: Uploaded sessions begin as Draft; finalize for inclusion in reporting.

* AI usage: AI maps transcripts to support areas and proposes action items. Encourage mentors to review and edit summaries for accuracy.

* Attachments and PII: Follow district data policies; avoid student-identifiable details in notes where not permitted.

### Troubleshooting

* Verify MAC is enabled in PL General System Configuration.

* Confirm user is added as Admin, Mentor, or Mentee; refresh/clear caches.

  * Check current school year filter and program assignment.

  * Verify pairing exists; reassign via Participant List if needed.

  * Confirm mentorship's program; ensure support areas are active.

  * Validate emails exist in PL and match CSV; re-upload after correction.

  * Respect 500-row batch limit; verify program column values.

  * Confirm role permissions include "Manage mentorship and upload data in bulk."

  * Impersonation testing must mirror real role scopes and persona.

* Finalize Support Areas, Programs, and Permissions before onboarding users.

* Enforce primary location in PL for all staff to enable location analytics.

How do dashboard exports work?  
Role users with "Download dashboard data" can export from detailed drilldowns. Exports honor current filters, selections, and school year.
Can we change a mentorship's program mid-year?  
Avoid changing programs after activity has started to maintain reporting integrity. Policies may restrict changes once data exists.
Will bulk upload reactivate deactivated users or mentorships?  
Behavior can vary by environment; verify after upload. If not reactivated automatically, update status manually in Participant List.

## Overview

The Account Management section in PowerSchool Coaching and Mentoring allows administrators to manage users, view their details, and assign or remove roles. This section provides a structured list of users with details such as name, email, primary location, and role.

The list provides user details, like:

* **Name** -- Full name of the user.

* **Email Address** -- Contact email associated with the account.

* **Primary Location** -- The assigned school or location.

* **Primary Role** -- User role (e.g., Admin, Administrator, ACD Group).

## Add administrators

To add a user as an administrator:

1. Select **Add administrator**.

2. Search for a user in the **Search all district staff** search field and press enter.

3. Select **Add users**.

## Remove administrators

To remove an administrator:

1. Locate the user you want to remove.

2. Select the **Remove user** action icon.

3. Select **Confirm**.

# Dashboard

## Overview

The Dashboard provides administrators with an overview of coaching activities, including total coaching hours, the number of mentors and mentees, and primary locations where coaching occurs.

To navigate, log in to PowerSchool Coaching and Mentoring and select Dashboard from the sidebar.

The Dashboard displays key metrics and data specific to a school year:

* **Total Coaching Hours** -- The cumulative hours logged by mentors.

* **Total Mentors** -- The number of active mentors in the program.

* **Total Mentees** -- The number of mentees currently participating.

* **Primary Locations** -- The total number of locations where coaching takes place.

Users can view coaching hours based on different categories using the dropdown menu:

* **Primary Location** -- Displays coaching hours by school or institution.

* **Support Area** -- Shows coaching data based on support categories.

* **Mentor** -- Breaks down hours by individual mentors.

* **Mentee Type** -- Categorizes coaching hours based on different mentee groups.

* **Content Area** -- Groups coaching hours by subject or focus area.

Users can **select a category** (e.g., Primary Location) to view coaching hours for specific schools or institutions.

The **View by Support Area** toggle allows switching between different coaching perspectives. The data visualization updates dynamically based on the selected category.

Users can change the academic year using the drop-down.

This guide explains how differentiated support areas work in Coaching and Mentoring, what changed, and how administrators and program managers use the feature across setup, mentorship assignment, check-ins, and reporting.  
Differentiated support areas let districts manage different sets of support areas by program, such as Mentoring, Instructional Coaching, or Leadership. Programs can share support areas where needed, but each program can also have its own tailored set.

This feature was introduced to support districts that run multiple educator-support programs in one system and need more relevant check-ins, cleaner reporting, and better alignment to real district structures.

## What this feature does

Previously, the platform supported a single global set of support areas. With differentiated support areas, the system introduces **programs** as a new configuration layer.

* Admins can create multiple programs.

* Each program can be associated with one or more support areas.

* Support areas may overlap across programs.

* Mentorships can be associated with a specific program.

* AI check-ins and manual time logging use the support areas that apply to that mentorship's program.

* Dashboards and detail pages can report by program as well as support area.

The result is more accurate analysis, clearer data segmentation, and better support for districts running multiple coaching, mentoring, or leadership programs in a single instance.

## How programs and support areas are configured

Configuration happens in Admin Config, where the existing support area setup expands into a program-aware model.

### Programs and Support Area table

In Admin Config, admins will see a table for **Programs and support area**. The page supports two views:

* **Group by program**: shows each program and its associated support areas.

* **Group by support area**: shows each support area and the programs it belongs to.

The table also supports:

* Search across the table

* Filtering by program and status

* Status management for programs

* Edit and delete actions where allowed

### Adding a program

When an admin selects **Add program**, a side panel opens. From there, the admin can:

1. Enter a unique program name.

2. Review the list of active support areas.

3. Select one or more support areas for that program.

4. Save the program and its support area associations.

Program names must be unique. If a duplicate name is entered, the system blocks saving until the name is changed.

### Editing a program

Admins can edit a program to update:

* The program name

* The support areas associated with that program

* The active or inactive status

Changes made in configuration are reflected in the Programs and support area table and affect available selections elsewhere in the product.

### Deleting or deactivating a program

Program deletion is restricted when data is already associated with the program.

* If a program has no associated generated data, it may be deleted after confirmation.

* If a program has associated data, deletion is disabled.

* In those cases, admins should deactivate the program to prevent future use.

Deletion protection exists to preserve historical integrity. If a program has already been used in mentorships, check-ins, or related records, the safer path is deactivation rather than deletion.

### Default program behavior

When the feature is introduced into an existing district, the system automatically creates a default program called **Mentoring**.

* Existing support areas are assigned to this default program.

* Existing mentorship records are assigned to this default program.

* This provides backward compatibility for legacy data.

The default program can be renamed, but it remains the anchor for migrated historical data. Its support area association, deactivation, and deletion are restricted.

## How program association works in mentorship management

Differentiated support areas only work correctly when mentorships are associated with the right program.

### Participant List updates

The Participant List adds a **Program** column for mentors and mentees.

* Program information can be searched.

* Program information can be sorted like other columns.

* If a person is associated with multiple programs, they may appear in separate rows so each mentorship context is clear.

### Manual mentorship assignment

When assigning mentors and mentees manually, the system now supports selecting a program for that mentorship.

* If only one default program exists, it is assigned automatically.

* If multiple programs exist, the user selects the program during assignment.

* Program information is then reflected in the Participant List for both mentor and mentee.

### Editing a mentorship's program

Authorized users can edit program association for mentorships through mentor management flows.

* The current program association is shown in the edit flow.

* Users can select a different available program.

* Changing one mentorship's program does not automatically change other mentorships for that mentor.

This is important in districts where one mentor may work across multiple programs.

### Bulk upload support

Bulk upload templates include a **Program** column for mentorship-related records.

Important rules:

* Program values are saved only when they match configured programs.

* Program values are saved only when associated with mentorship uploads.

* If no active programs are configured, uploaded program values are ignored after user confirmation.

* If some programs are unrecognized, the user can choose whether to continue and ignore those values.

Bulk upload is validation-aware. It helps prevent invalid program data from entering the system while still allowing admins to continue the import when appropriate.

## How differentiated support areas affect check-ins and time logging

### AI-powered check-ins

When a check-in transcript is analyzed, the system uses the mentorship's program association to determine which support areas apply.

* The AI analysis references only the support areas relevant to that program.

* The resulting check-in record reflects the applicable support areas.

* The check-in log also reflects the applicable program.

This improves the relevance of analysis and reduces noise from unrelated support areas.

### Manual time logging

Manual logging flows are also program-aware.

* When a user records time manually, the support area dropdown is filtered to the support areas that belong to the mentorship's program.

* The resulting entry aligns to the correct support areas and program context.

### Mentee and profile views

Program information is surfaced in several places to keep context visible:

* Check-in logs include a Program column.

* Support Areas tabs include a Program column.

* Mentee pages and profile-related views reflect the program-aware structure.

## How reporting changes

Differentiated support areas also expand reporting and dashboard analysis.

### Dashboard updates

* Time entries are aggregated by program.

* A Program category is available in dashboard metrics.

* Users can analyze coaching hours by program.

* Support area slicing respects the selected program context.

### Program detail reporting

Detailed program reporting includes measures such as:

* Program name

* Mentor count

* Mentee count

* Hours coached

If a mentor or mentee participates in multiple programs, they are counted within each relevant program view.

## Best practices for administrators

* Set up programs before bulk upload or large-scale mentorship assignment.

* Use clear, district-recognizable program names.

* Reuse support areas across programs only when the meaning is truly shared.

* Deactivate old programs instead of deleting them when historical data exists.

* Update mentorship program associations at the start of a school year rather than mid-year when possible.

A clean program structure upfront makes check-ins more accurate, reporting easier to trust, and long-term administration much simpler.

## Common scenarios

A district runs both New Teacher Mentoring and Instructional Coaching  
Create two programs, then assign the support areas that belong to each. Shared support areas can appear in both programs. When mentorships are linked to the correct program, check-ins and reporting will stay separated appropriately.
A mentor supports people in more than one program  
The mentor can appear in more than one program context. Their mentorships keep separate program associations, and reporting reflects each one independently.
A district already had data before this feature launched  
The system creates a default Mentoring program and associates existing support areas and mentorships to it. This preserves old records while allowing new programs to be added going forward.

## Overview

Administrators set up mentee attributes to provide more information when pairing mentees with mentors.  
The default option for View Coaching Hours by Mentee type is All Mentees.

## Configure mentee types

Mentee Types lists the various types of mentees for mentoring programs in your school district.

### Add mentee type

1. Select **Add**.

2. Enter **Label**.

3. To turn off a label, select **Inactive** . Labels are marked **Active**, by default.

## Configure content areas

Content areas list the areas of mentoring.

# Mentee dashboard

The dashboard will have mentee details such as current position and place of work, area of mentoring, content area, and the mentor's name.

To navigate, select **Participant List** and then click on a mentee within the **Mentees** tab. Select the **School year** to view mentoring information for that school year.

The Mentee dashboard has the following tabs:

* Check in logs: You can view transcripts from current and past mentoring sessions.

* Support areas: List areas of intervention and additional support the mentee will require.

If the mentee has several mentors, you can access the check-in logs by selecting the mentor from the dropdown menu.

## Manage check-ins

## Manage check-in logs

Transcripts are listed by their check-in dates, goals, support areas, mentoring activities, hours coached, last activity, and session-related resources.

When a transcript is generated, it will be labeled Draft. To analyze a transcript using PowerBuddy, click the respective check in log, and click **Analyze meeting**.

## Manage Support Areas

The Support Areassection summarizes coaching hours across different mentoring categories and allows mentees to review support areas where they received coaching.

Mentees can track their coaching sessions under the Support Areas tab, which includes:

* **Support Area Name** -- Categories of coaching received (e.g., Planning and Preparation, Learning Environments).

* **Status** -- Whether the support area is Active or Inactive.

* **Hours Coached** -- The total time spent on mentoring in that category.

# Mentees

## Overview

The Mentees tab lists all mentees' names, email addresses, primary locations, roles, mentee types, content areas, and mentors' names. To send emails to a mentee, select their email address.

Select the school year from the dropdown to view mentees for that year. To download details of all the mentees for that school year, select the **Mentee list**.

To search for a mentee, type the mentee's name in the search bar and press enter. To view mentees that are no longer part of the mentorship program, toggle **View deactivated mentees** on.

## Edit attributes

To edit mentee attributes:

1. Locate the mentee whose attributes you want to edit.

2. Select the **Actions** ellipsis icon. To edit the attributes for multiple mentees, select the mentees and then select the global ellipsis icon.

3. Select **Edit attributes**.

4. Select the **Mentee type**.

5. Select the **Content area**.

6. Select **Save**.

## Remove mentees

You can only remove mentees who have not been assigned a mentor.

To remove a mentee:

1. Locate the mentee you want to remove.

2. Select the **Action** ellipsis icon.

3. Select **Remove**.

4. Select **Remove**.

## Assign mentors

You can assign one or multiple mentors to an individual mentee.

To assign a mentor:

1. Within the Participant list, select **Mentors**.

2. Select the mentor you want to assign to a mentee.

3. Select the **Actions** ellipsis icon.

4. Select **Assign mentees**.

5. On the Assign mentor page, select the **School year**.

6. Select the mentee. Alternatively, enter the mentee's name in the **All mentees** search field to find a specific mentee user.

7. Select **Assign**.

The mentee's name will be added to the Mentees column associated with their mentor.

# Participant list

The Participant list contains the list of Mentees and Mentors for the selected school year.

## Add mentees

To add a mentee:

1. Select **Add user** and then select **Add mentee**.

2. Select **School year**.

3. Select **Mentor**.

4. Enter the mentee's name in the **Search all district staff**search box. This allows you to search for users within a district.

5. Select the mentee from the list.

6. Select **Add mentee**.

The Mentee list will display the names of the new users.

## Add mentors

To add a mentor:

1. Select **Add user** and then select **Add mentor**.

2. Select **School year**.

3. In the **Search all district staff** search field, enter the mentee's name in the **Search all district staff** field.

4. Select user.

5. Select **Add mentor**.

The Mentor list will display the names of the new users.

To add a mentee, refer to Add mentee.

## Upload user list

To upload a list of mentee users:

1. Select **Add user** and then select **Upload user list**.

2. Select **School year**.

3. Drag a CSV file or click Browse to upload a user list file.

4. Select **Upload File**.

5. Select the mentees you want to add.

6. Click **Save**.

The Mentee list will display the names of the new users.

## Overview

Administrators can configure permissions of initiating check-in, check-in log editing, goal creation, goal status modification.

## Configure permissions

Administrators can view and edit check-in permissions, mentee access to check-in logs, and mark goals when complete.

### Check-in permissions

To edit check-in permissions, select from the following options:

* **Only mentor can start the check-in**

* **Only mentee can start the check-in**

* **Both mentor and mentee can start the check-in**

### Check-in logs

To edit mentee access to view check-in logs, select from the following options for the **Mentee can view check-in logs**:

* **None**: The mentee will not have access to view any check-in logs.

* **Read only**: The mentee can view check-in logs, including notes and action items, but cannot make any changes.

* **Read Write**: The mentee has full access to their check-in logs. They can:

  * Edit the check-in time and session notes

  * Add or update action items

  * Mark action items as complete

Use this setting to give mentees more control and accountability in tracking their progress or limit access when you want to keep check-ins mentor-driven.

# Raw Data Download Feature for Mentoring and Coaching Application

## Reporting Raw Data Download

**What this feature does:** Reporting Raw Data Download lets users export raw reporting data from the Mentoring and Coaching application. This gives schools and program teams access to the underlying records behind dashboard summaries so they can complete reporting, analysis, reconciliation, and downstream processing in other tools.

The Mentoring and Coaching dashboard provides aggregated insights and visualizations, but many users also need access to the underlying data. Raw data download closes that gap by allowing users to export records for the school year and work with them outside the application.

This capability is intended to support common day-to-day needs such as operational reporting, stipend documentation, filtered list exports, and further analysis in spreadsheet or reporting tools.  
**Primary user value:** Users can move from viewing summarized data to downloading actionable raw data that reflects the records they need for real work.

### Who this is for

This feature is designed for multiple user roles in the application.

* **Administrators** who need complete or filtered participant data for a school year

* **Mentors** who need records related to their mentees, coaching hours, or check-ins

* **Mentees** who need a downloadable record of check-ins for reporting or stipend submission

### Why it matters

Raw data download is a foundational product capability. While dashboards are useful for quick interpretation, exported data gives users greater flexibility.

* It supports formal reporting needs

* It allows users to retain a working copy of relevant records

* It makes it easier to combine application data with other local or district data sources

* It enables deeper analysis outside the platform

* It reduces manual re-entry and screenshot-based reporting

> In short, dashboards answer "What is happening?" while raw downloads help users answer "What do I need to do with this information next?"

### What users can do

Depending on their role and permissions, users can download raw data relevant to their work. The exact data available may vary by persona, but the intended experience includes the following capabilities:

* Download participant data for a selected school year

* Download data based on active filters

* Export records for mentors or mentees

* Download check-in activity for reporting purposes

* Export relationship or coaching-hour data for further analysis

### Common user scenarios

#### Administrators

* Download all mentors for the selected school year

* Download all mentees for the selected school year

* Apply filters such as location or mentee type, then download only the filtered results

* Use exported data for district reporting, audits, and local analysis

#### Mentors and mentees

* Download a list of check-ins for the school year

* Use the export to support stipend submission or participation verification

#### Mentors

* Download a list of assigned mentees for the school year

* Review coaching hours associated with each mentee

### Expected behavior

The feature is expected to behave in a way that is familiar, predictable, and useful for end users.

* If a user applies filters before downloading, the export should reflect those filtered results

* Users should only be able to download data appropriate to their role and access level

* Downloaded data should represent raw records rather than only summarized dashboard values

* The experience should work across the supported personas of admin, mentor, and mentee

**Best practice:** Apply filters before exporting when you only need a specific subset of records. This helps reduce cleanup work after download and makes the exported file more immediately usable.

# Reporting categories

## Overview

District Administrators establish support areas and mentoring activities to align mentors' and mentees' goals. The AI engine analyzes, measures, and displays the time mentors spend on each support area in Mentoring summaries within the Mentor dashboard. Teachers in the mentoring program ensure their goals align with the district's professional development strategy.

## Configure Support Areas

Administrators can define a mentee's support area for the mentoring program. The district's support areas serve as a mentorship framework for mentors and mentees.

The built-in AI model analyzes check-in transcripts to identify and log time spent discussing each support area. AI will not analyze or categorize discussions related to a specific support area when marked Inactive. By default, support areas are marked Active.

Active support areas will be listed in the **Support areas** tab within the **Mentee** dashboard. Refer to [Support areas](https://ut.powerschool-docs.com/mentoring-admin/latest/mentee-dashboard/ManageSupportareas) in the section titled **Participant List** for more information.

## Overview

Mentors and mentees will be organized by school year. School year information will be displayed on the data dashboard, mentee profile section, and mentor profile section.

## Configure school years

Configuring school years helps mentors track the progress of goals, align mentees, and report for that specific school year.

Administrators can add a future school year to allow mentors to plan future mentoring sessions.

| School year     | Lists the school year.                                                                                                                                                      |
| Start date      | Indicates the start date of the school year for the mentoring program. The end date is automatically set to one year from the selected start date, as defined by the admin. |
| End date        | Indicates the date and the month the school year ends.                                                                                                                      |
| Include in list | When Include in List is selected, the School Year will appear in the School Year selector within the Participant List and on the Dashboard.                                 |
| Current year    | The system automatically flags a school year as "Current" if today's date falls within its start and end date range. Users do not need to manually enter an end date.       |
| Actions         | Allows administrators to edit the Select Month and Start Day for the specific school year.                                                                                  |

### Add school year

To add a school year:

1. Select **Add**.

2. Select **Start Month**.

3. Select **Start Year**.

4. To view the school year in the list, select **Include in List**.

5. Select **Save**.

# Syncing Mentoring Hours to Professional Learning Transcripts: Configuration and User Experience

## Overview

Mentoring hours recorded in Coaching and Mentoring can automatically sync to a user's Professional Learning (PL) transcript. Synced hours appear as **transfer credit requests** in PL and can either bypass approval or follow your existing approval workflow.

* Ideal for districts using Coaching and Mentoring to track mentor/mentee time and want those hours reflected in PL transcripts.

* Flexible sync frequency: daily, weekly, or monthly aggregation.

* Works with your existing Transfer Credit Manager (TCM) workflows.

This guide walks through setup in both Professional Learning (PL) and Coaching and Mentoring, plus what end users will see and answers to common questions.

## Before you begin

* Confirm you have admin access in both Professional Learning and Coaching and Mentoring.

* Decide whether synced hours should **bypass approval** or **follow** your existing TCM approval workflow.

* Decide on a **sync frequency** (daily, weekly, or monthly). Aggregating weekly or monthly typically reduces the number of transcript entries.

## Configure in Professional Learning (PL)

### Step 1 --- Enable Coaching and Mentoring and Credit Requests

1. Navigate to **Administration → Configuration Management → General System Configuration**.

2. **Enable Coaching and Mentoring UI**

3. **Enable Credit Request Processing**

These settings allow PL to receive mentoring hours and process them as transfer credit requests.

### Step 2 --- Configure Coaching and Mentoring Credit Integration

1. Go to **Professional Learning → Configuration → Transfer Credit Manager → Coaching and Mentoring Credit Integration**.

2. Set the following options:

#### Assign credit to this workflow

Select the Transfer Credit Manager (TCM) workflow to record mentoring hours on user transcripts. Choose one of the two processing options:

* **Bypass approval** --- Records mentoring hours without routing for approval, regardless of the workflow's normal approval steps.

* **Follow existing approval process** --- Routes mentoring hours through the approval steps defined in the selected workflow.

#### Sync frequency

* **Daily** --- Each sync creates separate transfer credit entries. Frequent activity can result in many entries under *My Professional Learning → My Transcript → Completed Sections*.

* **Weekly** or **Monthly** --- Mentoring hours are aggregated for the period, resulting in fewer transcript records.

Recommendation: Use weekly or monthly aggregation to minimize transcript clutter while preserving accurate totals.

## Configure in Coaching and Mentoring (CAM)

In Coaching and Mentoring, ensure that syncing of mentoring hours is enabled and aligned with your organization's process.

* Confirm with your implementation team or administrator that **mentoring hour sync** to PL is enabled.

* Verify that the Admin Configuration in Coaching and Mentoring is set to share recorded hours with PL.

* Communicate expected sync frequency and workflow behavior to mentors and mentees.

## What users will see

* Synced mentoring hours appear as **transfer credit requests** on the PL transcript.

* Location: *My Professional Learning → My Transcript → Completed Sections*.

* If your selected workflow includes approvals, users and approvers will see the requests follow the standard approval steps before completion.

* With daily sync, users may see multiple entries over time; with weekly/monthly, entries are aggregated.

## Troubleshooting and FAQ

### Why don't mentoring hours appear on the transcript?

* Confirm both **Enable Coaching and Mentoring UI** and **Enable Credit Request Processing** are turned on in PL.

* Verify the **Coaching and Mentoring Credit Integration** page has a selected TCM workflow and a defined sync frequency.

* Allow time for the next scheduled sync (e.g., if set to weekly, hours appear after the weekly run).

### How do approvals work for synced hours?

* If you select **Bypass approval**, mentoring hours are posted to transcripts without approvals.

* If you select **Follow existing approval process**, requests route through the approvals defined in the chosen TCM workflow.

### How do we reduce the number of transcript entries?

* Choose **Weekly** or **Monthly** sync frequency to aggregate entries.

### Can we change the workflow later?

* Yes. You can update the selected TCM workflow anytime. Future syncs will follow the new configuration.

### How do we confirm the sync is working?

* Check recent activity in Coaching and Mentoring and compare against *My Professional Learning → My Transcript → Completed Sections* after the next scheduled sync.

* Administrators can review TCM entries and approval history in PL to verify routing and completion.

# User Role Management

Role Management is a feature module to meet the usage needs of dynamic roles in the school district.

Role Management lets your district create flexible, data‑driven roles for Coaching and Mentoring.

With roles, you can:

* Define any role you need (for example, "District Mentoring Coordinator," "School Lead Mentor," or "Principal").

* Assign those roles to users automatically based on demographic tags.

* Control which staff members' data each role can access.

* Fine‑tune what each role can see and do in Coaching and Mentoring.

## **Primary location requirement**

After Role Management is enabled, every Coaching and Mentoring user must have a **valid primary location**. The user's primary location drives access.  
**Example:**If a school Lead Mentor does not have a primary location set to that school, they will not see data for users at that school.

## **Systematic Role Assignment**

Systematic role assignment uses demographic tags to maintain roles as staff move or change automatically. This is the recommended long‑term approach.

### **Set up roles**

1. From Coaching and Mentoring, select **Home**.

2. Go to **User Role Management**.

3. Select **Add role**.

4. Enter a **Role name** and **Role description**.

5. Configure the role's **Access Scope** and **Permissions**.

6. Select**Save** to add the role.

### **Assign roles using demographic tags**

Use demographic tags (district, school, or job type) to assign the role:

* Role assignment runs immediately after a role has been created and synchronizes **nightly** with Professional Learning user accounts.

* If a user's demographics, location, or name change in Professional Learning, their role assignments will update automatically the next day.

* This approach keeps roles in sync with HR data, so you do not need to manually add or remove users as staff change.

If your district demographics are not yet configured or complete, you can:

* Use **manual assignment** initially. Manual role assignments are static and will not update automatically unless edits are made to the role.

* Work toward cleaning up demographics so you can fully rely on systematic assignment.

### **Configure access scope**

The **Access Scope** defines the location level at which a role can see data. The options depend on how your site is configured.

**State setup:**Access scope options may include:

* State

* Region

* County

* District

* School

**District setup**: Access scope options may include:

* District

* School

How it works:

* The system uses the **primary location** of each user assigned to the role.

* If you assign **User A** (primary site = School A) to a role with an access scope of **District**:

  * The system identifies which district School A belongs to.

  * User A can then access data for the **entire district**.

### **Configure permissions**

Permissions control what each role can access within Coaching and Mentoring. All permissions respect the role's **access scope**.

**Application areas**

Coaching and Mentoring includes these main feature modules:

* **Participant List**

* **Admin Configuration**

* **Dashboard**

* **Mentees**

* **My Profile**

Notes:

* **Mentees'** loads for all mentors.

* **My Profile** loads for all mentees.

The following permissions control whether certain modules load for a role user:

| **View dashboard**                            | Allows access to the Dashboard.                                                                                                                                                                         |
| **Download data from the dashboard**          | Controls whether the role user can **download dashboard data as CSV** files.                                                                                                                            |
| **View deactivated account**                  | Controls whether the role user can: * See the **"view deactivated account"** toggle on the Participant List * **View deactivated account**: This permission is separated due to privacy considerations. |
| **View check‑in details**                     | Controls whether the role user can open **check‑in links** to view detailed check‑in conversation analysis.                                                                                             |

For all role users, Admin Configuration is view‑only. They cannot make configuration changes, even if they can access this area.

**Manual Role Assignment**

Manual role assignment lets you assign roles to specific users directly, regardless of demographic tags. This is useful when:

* You need to grant a role at a **different location** than the user's systematic assignment.

* You need to assign a role to a **small number of users ad hoc**.

### **Start a manual assignment**

1. Open **User Role Management**.

2. Select the **role** you want to assign manually.

3. Choose the **location** you want to assign the user(s) to for this role.

The role's **Access Scope** is defined in the role itself and **cannot** be changed in manual assignment.

### **Search for users**

* Use the **search field** to search against Professional Learning (PL) users.

* Select one or more users to assign.

### **Assign the role manually**

* Assign the selected user(s) to the chosen **location** for this role.

* Common scenarios:

* Giving a user the **same role** at a **different location** in addition to their systematic assignment.

* Assigning a role to a **small group** where demographics do not yet support automation.

### **Behavior of manually assigned roles**

* Manually assigned role users can be **removed** from the role at any time.

* Manual assignments are **not affected** by demographic or location changes in the user's account.

* The access scope and permissions remain as defined for that role.

* The assignment remains in place until the user is manually removed from the role.

* Once removed, the user's access as a role user is revoked (unless they have another role ).

## **Edit and Delete Roles**

### **Edit a role**

Editing a role lets you adjust its details and permissions.

1. In **User Role Management**, select the role.

2. Select **Edit role**.

On the role definition page, you can update:

* **Role name**

* **Role description**

* **Role assignment configuration** (e.g., which demographic tags it uses)

* **Permissions**

**When do edits take effect?**

* Permission changes take effect **at the next login** for role users.

* To see changes immediately, have users **log out and log back in**.

**Access Scope is not editable** once the role is created. If you need a different access scope (for example, changing a school‑level role to district‑level), create a **new role** with the desired access scope and migrate users as needed.

### **Delete a role**

1. In **User Role Management**, select the role.

2. Select **Delete role**.

3. Confirm deletion.

When you delete a role:

* All **role users** assigned to that role **lose the associated access**.

* If a user has **no other persona** in Coaching and Mentoring (for example, they are not set up as a mentor or mentee):

* The **Coaching and Mentoring tab** will no longer appear for that user after the role is deleted.

Use this carefully and consider:

* Whether users need another role created first.

* Whether you need to preserve access via another persona (mentor/mentee).

# Access User Accounts

1. Click Administration in the tabs along the top of the screen.

2. From the System Administration menu, select User Accounts.

3. The User Accounts page will display, listing all users to which you have access.

   1. To narrow the list of users, use the search field and filters. (Users are filtered by active status by default.)

   2. To add a new user, click Create New User.

   3. To search using more detailed criteria, click Advanced Search.

   4. To access actions enabled for your role, click the drop-down menu. Actions include:

      1. View: Select to view the user's account.

      2. Edit: Select to edit the user's account.

      3. Delete: Select to permanently remove the user's account from the system.

      4. View Courses: Select to view any courses associated with the user.

      5. View Certificates: Select to view any certificates associated with the user.

      6. View Calibration Status: Select to view the user's calibration status.

      7. View Transcript: Select to view the user's transcript.

   5. To assume the identity of a user and view the portal with their permissions, click the person icon.

      You will only see the assume identity icon for users that have fewer access rights than your account/ role. You will not be able to assume an identity while currently assuming a different identity.
   6. To access a user account for viewing and editing, click the user name.

# Add Courses from Premium Library

## Get Started

1. Choose **Professional Learning** from the main menu.

2. Click **Configuration.**

3. Choose **Premium Library.**

## Select Courses

1. Search for course content by topic, description, provider, delivery format, or other relevant descriptors.

2. Click any course to view details.

3. To purchase all courses returned for your search, click **Add All To Cart** .

   To purchase specific courses, select the courses, then click **Add To Cart**.

## Review Cart and Purchase

1. Click the **shopping cart icon**.

2. Review your selections.

3. Update the number of seats for each course in your cart.

4. Select payment options:

   * To select one method to pay for all courses in your cart, select **Use the same payment type for all.** Otherwise, choose a **Payment Type** for each course.

   * To select one office that will pay for all courses in your cart, select **Use the same invoice Office for all** . Otherwise, choose an **Invoice Office** for each course.

   Depending on the configuration for your organization, payment types may include the following:
   * **Pre-Paid Budget** - The cost of seats is paid upfront from a predetermined budget for the selected invoice office. You are alerted if the cost is over budget, and you will not be able to submit the request.

   * **Staff Credit Card Purchase** - The cost of seats is paid at the time of enrollment by the course participant. The number of seats becomes unlimited (the number field is removed).

   * **Request to Set Up Pre-Paid Budget** - The cost of seats is paid upfront based on a negotiated agreement between PowerSchool and the selected invoice office.

   * **Request Approval** - The cost of seats is paid by the selected invoice office on behalf of the course participant, after the office administrator reviews and approves the enrollment. The number of seats becomes unlimited (the number field is removed).

5. Click **Submit Request**.

Your new request will appear in Pending Approval status and will be reviewed and approved by PowerSchool.

## Release to Catalog

Once approved, Premium Library content is pushed directly to your catalog as self-paced courses, but the courses are not released.

# Announcement

## Manage announcements

Administrators have the capability of creating announcements targeted to specific users.

1. Click Administration in the tabs along the top of the screen.

2. Locate the Applications menu and click Targeted Announcements.

3. On the Targeted Announcements screen, use the tabs to view all existing announcements or those in a specific status.

4. To create a new announcement, click Create New Announcement.

5. On the Edit Announcement screen, enter information into the appropriate fields. Required fields are in red. Click Save and Select Recipients when you are satisfied with your announcement.

   * Click Cancel to clear the fields.

   * Click Save as Draft to save and complete later.

   * Click Send Me a Test Email to have a test announcement sent to the email associated with your user account.

6. On the Target Announcement screen, select the date you want your message delivered. Choose an expiration date if appropriate.

7. Click the Set Inclusion filter to determine which recipients will receive the message. If you do not set any filters, the message will be delivered to every user in the district.

8. Click Set Dynamically republish to add or remove users from the recipient list if their user information changes. For example, if a user moves to a new location, enabling this feature will automatically hide the content from the user if the user's new location is not a recipient of this content.

9. Use the remaining buttons on the screen, as appropriate, to define the demographics for the targeted recipient list.

10. The number of selected recipients will appear on the right. Click Show Recipient List to view the names.

11. When satisfied with the target settings, click Finish.

12. Click Yes to send the announcement to targeted users. (Click No if you want to return to the Edit Announcement screen.)

The newly-created announcement will appear on the targeted recipient's home page in the My Announcements channel, if enabled, and by clicking the mail icon in the header.

The label for the completion email has been updated for improved clarity. The *PD Playlist* dynamically reflects the user-defined playlist label configured in your instance

## Manage notifications

Administrators can now access a detailed log of scheduled emails sent by the PL system. This feature provides transparency and helps track the delivery status of notifications.

Available within the Admin tab for tnl.admin users, administrators can sort and filter to quickly locate specific records.  
The log may contain sensitive information. Administrators should review and share this data with caution.

### Key benefits

* Improves visibility into system communications.

* Helps troubleshoot failed or delayed email notifications.

* Provides an audit trail for accountability and tracking.

To review the notifications:

1. Navigate to the **Admin Tab**.

2. Select **Notification Log**.

3. Use the filters to search by date, sender, or recipient.

4. Review the email status and details as needed.

### Manage completion notification settings

Administrators can configure notification preferences for each PD Playlist to ensure the right users are informed when participants complete a playlist. This enhancement updates the notification label in the **Notifications** tab to more clearly indicate who receives the completion message.

To access Notification settings:

1. Navigate to **Manage PdPlaylists**.

2. Click the name of the **PD Playlist** you want to manage.

3. Select the **Notifications** tab. Navigate to the PDAdmin dashboard, and select **Manage PdPlaylists**.

4. Click the name of the **PD Playlist** you want to manage.

5. Select the **Notifications** tab.

## Manage recommended course teasers

Administrators can now control whether initiator details (such as **"\[required/recommended\] by NAME on DATE"** ) are displayed in **Recommended/Required Training Teasers**.

When enabled, the initiator's **name** and **date** are hidden from the teaser message. When disabled, the teaser displays full initiator details.  
Enabled by default for Broward clients. Disabled by default for all other clients.

This feature gives organizations more flexibility in managing how training assignments are communicated to users.

Enable this setting if you prefer a streamlined, anonymous assignment style in your Required Learning communications.

To configure teasers:

1. Navigate to **Configuration Management** in PdAdmin.

2. Select **Course Teaser Options**.

3. Locate the setting:

   * **Hide Initiator in the Recommended/Required Training Teasers**.

4. Toggle the option based on your organization's preference.

5. Click **Save**.
