Substitute

The Substitute page collects information on global parameter settings for substitutes.

General

Select options to indicate the following:

  • Substitutes can cancel accepted jobs.
  • Substitutes must provide a reason for canceling.
  • Do not allow substitutes to accept other jobs for the same day through the calling system if they cancel a job. If you select this option, a substitute can still accept a job assigned by an administrator or by request from an employee.
  • Notify substitutes if jobs are canceled.
  • Set the maximum number of attempts or days a substitute can cancel accepted jobs.
  • Require reasons for declining jobs. You must have Decline/Cancellation reasons set up to enable this option.
  • Give higher priority to web logins for accepting jobs over IVR logins.
Availability

Select options for substitute availability:

  • Set the maximum hours for substitutes to be on the Temporary Do Not Call list.
  • Allow substitutes to modify their availability based on schedules or have partial unavailability.
  • Restrict jobs based on certain conditions, such as daily availability or maximum work units.
  • Restrict a job to specified substitutes.
  • Do not allow substitutes to enter unavailability if the date or time overlaps with an accepted job.
  • Set limits for the maximum number of consecutive unavailable days.
Calling

Select options for substitute calls:

  • Call specified substitutes every 30, 45, or 60 minutes.
  • Hang-ups count as declining a job.
  • Substitutes can auto-accept jobs.
Hours RestrictorSet maximums for hours per day, week, and month for substitutes. You can display substitute hours on the dashboard.
Telephone Access

Indicate if specified substitutes for jobs can skip or hear other job offers without deciding on the skipped jobs.

You can also enter the time when future job reviews become available for substitutes to review. When the time is reached, the system offers or displays open jobs for a future date if the substitute qualifies for the job.

Enter a time close to the completion of the morning callout to minimize the use of the telephone lines during peak calling times.

The option for future job review time also applies to browser access.

Morning/Evening Callout Parameters

Set the options for morning and evening callouts:

  • Enter the maximum number of jobs the system can offer during the callout times. This option prevents substitutes from monopolizing incoming lines but does not guarantee substitutes will receive the maximum number of job offers.
  • Enter the maximum number of hang-ups, no-answers, operator intercepts, and declines before a substitute cannot accept any jobs for the day.
    • A hang-up occurs when the substitute answers the telephone, enters a PIN, and a hang-up is detected before the system records an action.
    • Operator intercepts are manual interventions to prevent continuous attempts to contact substitutes with invalid phone numbers.
Browser Access

Select the options for substitutes to view, edit, perform, or create on the web browser. The options can affect what features substitutes can use in the software.

  • Enable text message job offers for all substitutes.
  • Enable timekeeping for all substitutes.
  • Allow substitutes to review or modify Locations, Classifications, and Verified Statuses.
  • Allow substitutes to update their email address and review certifications.
  • Display the filter for available jobs.
  • Control the number of future days to display available jobs.
