In-house filling

Improvement

Support for in-house filling

To help improve fill rates, an additional feature has been added to allow easier access to the In-house substitute pool for specific jobs when external substitutes do not fill them. For in-house substitutes, they should be designated as both an Employee and a Substitute in the system. The employee’s in-house substitution availability can be added by the Admin, by going to the substitute menu on the profile and clicking on the In-house filling tab. The in-house availability times can be mentioned on the next screen.

To find in-house teachers who can substitute on a job, a new button is added to the Job Details for unfilled active jobs (within the assigned substitute section) called Find available in-house substitutes. When this button is clicked, it would report available in-house employees for the duration of the job, depending on the in-house availability of those teachers.

The in-house filling availability times for employees can be imported in bulk through the following import layout:

S|A|9|Access_ID|Start_Time|End_Time|All_Day YesorNo|Days_Of_Week)Starting Sunday|Available_For_In-House|

For example: S|A|9|1234567|0900|1500|N|NYYNNNN|Y| OR S|A|9|1234567|||Y|NYYNNNN|Y|

Classification Mapping and Browser Access section

Improvement

Merging multiple blocks on employee schedules into a single block during absence creation

For school districts that use block schedules for their employee work schedules, at times, the employees can be working on multiple classifications on the same day. To merge multiple classification blocks into a common absence, so that it is easier to find substitutes for one single job (instead of smaller blocks), the merging option can be enabled by selecting the parameter: Enable merging of blocks based on common classification mapping.
This parameter is present in the menu path: Parameters – Employee – Browser Access section after Enable block periods for employee schedules.

To map classifications to a common classification, navigate to the menu path: System Configuration – Classification Mapping (new menu option added), where multiple classifications can be mapped to a parent classification. The single absence created from multiple classification blocks will have the parent classification on the absence/job.

Location Block List

Improvement

Importing Location blocks for Employee block schedules

For school districts using Employee block schedules for the employees' work schedule, the bulk process to add location-specific blocks can be achieved by importing the location-specific blocks in the following import layout:

L|A|6|Location_Code|Block_Name|Start_Time|End_Time|

Reports

Issue

Added location access so Admins can view substitutes at other locations in the Substitutes with Blocked Phone Calls report

For the Substitutes with Blocked Phone Calls report, which enabled viewing the list of substitutes who have opted to block getting called/texted by the system, additional location access filtering has been updated so that the Administrator viewing the report is displayed with a list only for the locations they have access to.
