Jobs

The Jobs page collects information on options that impact the absence approval feature, job creation and cancellation, substitute assignments, telephone access, and holiday processing rules.

The Holiday Rule List allows substitutes that work during the before holiday period to receive preference for jobs during the after holiday period. The preference order is determined by the list setup in the Search Rules. This feature is enabled by entering a value in the before and after holiday work status fields. The holiday period is defined in the All Locations calendar.

Job Approval
  1. Select Require for selected reasons to turn on the Absence Approval feature. Select the options to customize the feature:
    • Number of hours before a job starts that a user can enter an approval request.
    • Allow pending requests to be filled.
    • Skip the approval process for specified conditions.
    • Require approval comments.
    • Determine jobs to include in transactional exports.
  2. Select the options to indicate if you want the system to use an approval form and to attach it to the job.
  3. Select the options to indicate if you can create absence approval user groups lists. Select the options to customize the feature:
    • Assign approvals through user groups.
    • Allow multiple user groups to approve absences based on reason or level.
    • Consider classifications when routing absence approval requests.
Job Creation
  1. Enter the number of days before a user can create a job. This only verifies the Start Date of a new job. The maximum is 365 days.
  2. Enter the number of hours before job start time a user can create a job. Enter 00:00 to have no limit.
  3. Select Only allow jobs to be reported until and to have the system verify the End Date of a new job.
  4. Select the remaining parameters as required to customize job creation.
Specify a Substitute

Select the parameters for the following:

  • How the system performs checks when employees specify a substitute.
  • The conditions for how an employee can specify a substitute.
Job Cancellation

Select the parameters for the following:

  • Allow users to cancel jobs with an assigned substitute.
  • Cancel jobs segments through bulk cancellation.
Job Substitute Assignment cancellationSelect to reset the job search rule to the first step if a substitute cancels the job.
Job MarkersSelect to reset markers for search types at the start of every callout. You can choose to reset markers for all search types or individual ones.
Job Report

Select the job inquiry report type:

  • Absence Authorization Report
  • Absence Report

You can also select to display future individual segments.

Telephone AccessEnter the maximum number of seconds for voice instruction recordings. It is recommended to enter a value no higher than 30 since longer recordings mean fewer calls can be made to substitutes.
Holiday Rule Lists
  1. Enter the number of workdays prior to the holiday start date that special holiday processing rules will apply. The default is blank or zero. This feature allows substitutes who work during the defined before holiday period to receive preference for jobs that fall after the holiday. The system calculates the before holiday workdays using the number entered in this field. On the calendar, these workdays are labeled Before Status.
  2. Enter the number of workdays after the holiday end date that special holiday processing rules will apply. This is a two-digit field. The default is blank or zero. Substitutes who worked during the “before holiday” period are given “after holiday” preferred status for jobs. The system calculates the “after holiday” workdays using the number entered in this field. On the calendar, these workdays are labeled After Status.

If the Holiday Rule Lists parameters are blank, the Use Holiday Preferred List field does not display on the Calendar or on Search Rule pages.
