Create Absences
Create an Employee Absence
- From the main menu, choose Administrator, then Create an Absence.
- Determine whether a substitute will be required.
- Enter the employee access ID and click Continue, or click Name Lookup to find and select the employee.
- Complete the absence creation form.
- The employee's primary location is chosen by default.
- If enabled for your district, you will have an option for Location Type.
- Non-Remote indicates that the substitute will teach only in person.
- Partly Remote indicates that the substitute will teach both in person and over video conference.
- Remote indicates that the substitute will teach only over video conference.
- Select the days of the absence on the Weekly Schedule.
- For the definitions of Full Day, Morning Half Day, and Afternoon Half Day, contact the school administrator.
- Select Custom to:
- Set different times for each day of your absence.
- Create an absence that only needs a substitute for part of the absence.
- Specify a Substitute allows you to determine the substitute you prefer using their access ID or name. If the substitute has not already accepted the job, they are called first. If they have, the job is not sent to a callout.
- Click Continue.
- Review and confirm the absence details, then click Create Absence.
Create a Vacancy
A vacancy is created when no employee exists to be absent, and a substitute is needed.
Your access to this feature depends on your district settings.
- From the main menu, choose Administrator, then Create a Vacancy.
- Complete the vacancy creation form.
- The chosen Calendar dictates the workdays, holidays, and No Substitute Required days that will apply to this vacancy.
- If enabled for your district, you will have an option for Location Type.
- Non-Remote indicates that the substitute will teach only in person.
- Partly Remote indicates that the substitute will teach both in person and over video conference.
- Remote indicates that the substitute will teach only over video conference.
- Specify the days a substitute is required.
- Dates are set to the current day by default.
- Substitute Times are set by the chosen location by default.
- Unpaid Break is set by the chosen classification by default.
- Click Modify Times if:
- The days are non-consecutive.
- Every day of the vacancy does not start and end at the same time.
- Specify a Substitute allows you to determine the substitute you prefer using their access ID or name. If the substitute has not already accepted the job, they are called first. If they have, the job is not sent to a callout.
- Click Continue.
- Review and confirm the vacancy details, then click Create Vacancy.
